Job summary

Chaffin Luhana LLP in Pittsburgh is seeking a Client Accounts Specialist to manage the financial lifecycle of client cases and settlement disbursements. You will handle accounts payable, payments, and reporting while communicating with clients about their settlement funds.

The role requires 2+ years in bookkeeping or accounting, proficiency with QuickBooks and Microsoft 365, and excellent communication and organization skills.

About this position:

Join our team in a dynamic role that spans the entire financial lifecycle of our clients' cases. The Client Accounts Specialist will handle comprehensive accounting functions while serving as a key point of contact during the most rewarding phase of the client journey - settlement disbursements. This position combines daily accounting operations with direct client interaction, managing everything from accounts payable to final settlement distributions.You'llmaintainaccuratefinancial records,assistwith monthly reporting, and work directly with clients to help them understand their settlement funds, making this role both technically challenging and personally fulfilling.

Responsibilities:
  • Resolve client liens, draft disbursement statements, and issue checks to clients
  • Maintain client account records, ensuring all necessary information is accurately recorded in the firm's case management system
  • Communicate with clients via phone, email, and other communication channels, responding promptly and professionally to all inquiries
  • Work collaboratively with attorneys and other team members to provide support and ensure client satisfaction
  • Maintainaccuraterecords of client interactions and account information, ensuring data integrity and confidentiality
  • Monitor case progress and provide regular updates to clients on case status
  • Identifyopportunities to improve client satisfaction and streamline processes, making recommendations to management for implementation
  • Continuously develop knowledge of personal injury and mass tort law to better serve clients and support the team
  • Processoperatingand IOLTA deposits accurately andtimely
  • Collaborate with internal departments to obtain required approvals and supporting documentation as needed
  • Generate cost reports by gathering and reviewing case-related expenses, verifying supporting documentation, reconciling discrepancies, and providingaccuratereports to attorneys and internal stakeholders to support settlement disbursements and financial reporting

Qualifications:
Required:
  • High school diploma or equivalent
  • 2+ years of experience in bookkeeping and/or accounting
  • Experience with Microsoft 365 applications (Excel, Word, and Outlook)
  • Basic (or better) knowledge of QuickBooks
  • Strong communicationskills, with the ability to effectively communicate with clients, attorneys, and other team members
  • Excellent organizational skills and time management skills
  • Attention to detail andhigh levelof accuracy in data entry and record-keeping
  • A pristine record with no personal or business bankruptcies or criminal record isa must
Preferred:
  • Associate or bachelor's degree in finance or accounting strongly preferred
  • Accounting Certificate, associate in accounting, or equivalent work experience and/or training
  • Previouswork experience with QuickBooks
  • Prior experience in banking, legal accounting, or medical office
  • Experience with lien resolution in a legal or medical setting
  • Case management software experience
  • Previousaccounting experience
