Job description

The Clerk I provides administrative, clerical, and customer service support to Behavioral Health and Intellectual and Developmental Disabilities (IDD) programs. Responsibilities include scheduling appointments, maintaining records, entering data, preparing correspondence and reports, processing program-related documentation, and assisting consumers, staff, and visitors. This position serves as an administrative resource to assigned departments while ensuring efficient office operations and excellent customer service.Essential Functions:Greets visitors, consumers, family members, and staff; determines the purpose of visits and directs individuals appropriately.Uses agency-approved scheduling software and electronic systems to schedule consumer appointments.Performs data entry and maintains records in accordance with agency policies and procedures.Collects fees and payments for services when assigned.Performs clerical duties including copying, scanning, filing, record maintenance, and document distribution.Completes forms and documentation in accordance with organizational procedures.Utilizes Microsoft Office applications to prepare correspondence, reports, meeting notes, and other documents.Purchases, tracks, and maintains office supplies and stock items as assigned.Receives, opens, routes, and distributes incoming mail, email, and other correspondence.Answers telephones, responds to inquiries, takes messages, and transfers calls appropriately.Maintains confidentiality of consumer, personnel, and organizational information.Prepares and distributes reports to appropriate individuals and departments.Maintains personnel, consumer, and administrative files in an organized manner.Records and maintains meeting minutes and related documentation.Performs responsibilities with minimal supervision.Teamwork and CooperationCooperates with others to accomplish shared goals and objectives.Works collaboratively across departments and programs.Treats others with dignity, respect, and professionalism.Maintains a positive and customer-focused work environment.Supports the mission, vision, and goals of the organization.Required Knowledge & Skills:Knowledge of general office procedures including typing, filing, records management, and customer service.Knowledge of agency and departmental policies and procedures.Knowledge of Microsoft Office applications and related office software.Knowledge of the Georgia Open Records Act.Knowledge of agency confidentiality requirements.Knowledge of agency-specific forms, software, and operational procedures.Knowledge of scheduling systems and office workflow processes.Ability to communicate effectively both verbally and in writing.Ability to answer telephones, direct calls, and take accurate messages.Ability to assist staff, consumers, and visitors professionally.Ability to sort, route, and process incoming and outgoing correspondence.Ability to identify customer needs and respond appropriately.Ability to make sound decisions regarding daily work assignments.Ability to greet the public and maintain positive working relationships.Ability to work independently with minimal supervision.Ability to prioritize duties and meet established deadlines.Ability to maintain organized filing systems and records.Ability to interpret policies and procedures.Ability to compose concise and professional correspondence.Ability to organize information into reports and summaries.Ability to review documents and reports for accuracy.Ability to prepare agency-specific forms and reports.Ability to type efficiently and accurately.Ability to maintain records and documentation.Ability to utilize scheduling software and office technology.Ability to implement process improvements as directed.Ability to troubleshoot routine office equipment issues.Ability to remain current regarding departmental policies and procedures.Primary Responsibilities, but not limited to:Provides clerical and administrative support for Behavioral Health and IDD programs.Schedules appointments and maintains electronic calendars as assigned.Processes documentation, reports, and correspondence.Maintains records, files, and databases.Provides customer service assistance to visitors, consumers, and staff.Supports daily office operations and workflow efficiency.Processes fees, forms, and reports as assigned.Assists with departmental projects and administrative functions.Competencies:Decision MakingOrganizational SkillsResults DrivenProblem SolvingCustomer ServiceEthical ConductCooperation and CollaborationAccountabilityFinancial AwarenessRequired Education & Experience:One (1) year of related administrative, clerical, customer service, or office support experience; OROne (1) year at the lower level or equivalent position.Upon appointment to the position, the employee assumes responsibility for meeting and maintaining all minimum qualification requirements, including applicable certifications, licenses, continuing education, competency validations, and mandatory annual or recurrent training.
