Job summary

Agua Fria Union High School District is seeking an ESS Assistant at Agua Fria High School. This 1.0 FTE, non-exempt position supports Special Education records and family services within the district's ESS office.

Qualifications

  • Must possess a high school diploma or equivalent.
  • Must have and maintain a valid IVP Arizona Fingerprint Clearance Card.
  • Ability to handle confidential information with discretion.
  • Ability to work cooperatively with staff, parents and students.
  • Bilingual in Spanish and English preferred.

Responsibilities

JOB DESCRIPTION: ESS Assistant

TITLE: ESS Assistant FTE: 1.0

FLSA STATUS: Non Exempt HOURS PER DAY: 8

WORK CALENDAR: 198 days

COMPENSATION: Classified Non Exempt Compensation Guide (Starting at $18.45/hour)

Position Type: Secretarial/Clerical/Administrative Assistant

Location: Agua Fria High School

Closing Date: Until Filled

ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. To assist site staff and parents requesting service regarding Special Education records and students in the program
  2. Greets and assists students and parents entering the Special Education Office for registration
  3. Provides information concerning programs and procedures to students, parents, and the public according to prescribed protocol
  4. Answers phones, screens calls, and relays messages to Special Education staff
  5. Creates/maintains files of Special Education records for each student according to District protocol.
  6. Creates/maintains a database of all Special Education students at each school site and prepares reports as required
  7. Assists with scheduling student/parent appointments, IEP's and 504 meetings
  8. Calls/researches other information on students new to the school site
  9. Translates for students and parents, (if bilingual) as needed
  10. Assist teachers with meeting notices and documentation required for IEP and 504 meetings
  11. Provides student's teachers with individualized educational plans in order to assist with compliance
  12. Secures timesheet signatures from paraprofessionals and department chair
  13. Prepares paraprofessional schedule
  14. Maintains quality control of IEP's before sending to District office
  15. Processes teacher supply requests
  16. Maintain confidentiality of information regarding students, staff, parents and school issues
  17. Provide a welcoming atmosphere for students, staff, parents and community
  18. Perform responsibilities in an ethical and professional manner
  19. Maintain punctual and regular attendance
  20. Perform other related duties as assigned
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

Education / Certificate

  • Must possess a high school diploma or equivalent.
  • Must have and maintain a valid IVP Arizona Fingerprint Clearance Card.

Experience

  • Must possess an ability to deal effectively with matters of confidentiality.
  • Must possess the ability to work cooperatively with parents, students, staff and the general public.
  • Ability to function in stressful situations and respond with tact, composure and courtesy when dealing with others.
  • Ability to acquire and apply information in related references (e.g., Governing Board policies and regulations, ESS procedures).
  • Must be self-directed and capable of working in a collaborative decision-making management system.
  • Must possess a pleasant personality and telephone manner.
  • Must possess a loyalty to the school district and its philosophy.
  • Must be 21 years of age or older upon hire.

Communication Skills

  • Biliterate/bilingual in Spanish and English, preferred.
  • Excellent written and oral communication skills.

Computer Skills

  • Must possess the ability to operate a computer and standard office machines.
  • Must possess ability to use or learn to use Individual Education Plan (IEP) software
  • Ability to operate computer hardware and software in use in ESS at time of and adopted after hire (e.g., MS Word, MS Excel, PowerPoint, Publisher, and iVISIONS).

PHYSICAL DEMANDS

  • Prolonged periods sitting at a desk and working on a computer
  • Ability to regularly push, pull or lift weights up to 15 pounds
  • Specific vision abilities required by this job include close vision and ability to adjust focus
  • Regular talking and listening is required
  • Ability to frequently stand, walk, bend, sit

WORKING CONDITIONS

  • Must be able to tolerate a semi-private working environment
  • Must be able to tolerate prolonged periods of sitting and computer work
