Job description

The CMA II is a Patient Service Representative / Certified Medical Assistant dual-role position that supports both front-office patient access functions and routine clinical care. The position serves as a key point of contact throughout the patient visit, ensuring patients are welcomed and processed professionally while also assisting providers and licensed clinical staff with vital signs, basic testing, injections, electronic medical record documentation, and other patient-care support.

This is an on-site, patient-facing position. Regular in-office presence is an essential function because the role requires direct interaction with patients and caregivers, real-time collaboration with providers and staff, and secure handling of protected health information.

Role Integration and Work Assignment

The employee is expected to perform both PSR and CMA responsibilities. The amount of time devoted to each function may vary by clinic workflow, staffing levels, patient volume, provider schedules, and direction from the Site Coordinator or Nurse Manager. Regardless of daily assignment, the employee remains responsible for maintaining competency and readiness in both areas of the position.

Essential Functions
  • Obtain and accurately document vital signs, including blood pressure, temperature, pulse, and patient weight.
  • Record patient information in the electronic medical record and promptly communicate high-risk situations to the Nurse Manager, Site Coordinator, or appropriate licensed clinical staff.
  • May perform point of care testing (ghb, fsbs, u/a) after required training and certification by designated qualifier.
  • Administer subcutaneous, intramuscular, or intradermal injections under direct physician supervision, in accordance with protocol, and document the administration in the patient record.
  • Provide routine clinical and administrative support to physicians, nurse practitioners, physician assistants, and licensed clinical staff.
  • Support patients and caregivers throughout the clinical visit while maintaining privacy, dignity, and professionalism.
  • Prepare and maintain accurate clinical documentation within the scope of the position.
Shared Responsibilities
  • Maintain patient confidentiality and safeguard protected health information in accordance with HIPAA and organizational requirements.
  • Communicate effectively and professionally with patients, caregivers, physicians, staff, and the public.
  • Manage multiple responsibilities and interruptions while maintaining attention to detail and accurate records.
  • Demonstrate tact, diplomacy, sound judgment, initiative, and a collaborative approach to patient service.
  • Provide support at off-site locations when necessary and operationally assigned.
  • Perform other duties as assigned.
Minimum Qualifications
  • High school diploma or GED equivalent.
  • Completion of certification from an accredited Medical Assistant program.
  • Current CPR and First Aid certification.
  • Valid driver’s license and reliable transportation.
Preferred Qualifications
  • Knowledge of HIPAA and other healthcare compliance requirements.
  • Experience using Acumen and Epic.
  • Experience with electronic health record systems in a medical practice setting.
Knowledge, Skills, and Abilities

  • Ability to obtain vital signs accurately and document patient information completely and correctly.
  • Strong attention to detail, records maintenance, organization, and prioritization skills.
  • Ability to multitask and maintain concentration in a fast-paced environment with frequent interruptions.
  • Effective written and verbal communication skills.
  • Excellent interpersonal and human-relations skills for interaction with patients, caregivers, providers, coworkers, and the public.
  • Ability to make evaluative judgments and use sound independent decision-making within the scope of the position.
