Position Overview
The Sales Coordinator is an entry-level role that keeps our sales and business development engine organized and moving. You will provide the administrative backbone for an experienced sales team, handling the coordination, data, and follow-through that let our senior sellers focus on clients and growth. You will work closely with and learn directly from our CEO and Biz Dev Manager, gaining hands-on exposure to how enterprise dining and catering accounts are won and grown.

Responsibilities
Sales Administration & Coordination (35%)
- Keep the sales process organized and running day to day.
- Prepare and format proposals, quotes, menus, and contracts for review
- Maintain the team's sales calendar and schedule client and prospect meetings
- Organize sales collateral, templates, and shared files so they are easy to find
- Enter and track sales activity and orders accurately across our systems
- Coordinate clean handoffs from sales to operations, culinary, and account management
CRM & Pipeline Support (25%)
- Keep our client and prospect data accurate and useful.
- Maintain up-to-date records in our CRM (HubSpot), logging calls, activities, and next steps
- Keep pipeline data clean so reporting reflects reality
- Run and format sales reports and help track team KPIs and targets
- Flag follow-ups, renewals, and at-risks items to the senior team
Client & Prospect Support (20%)
- Support responsive, professional communication with clients and prospects.
- Respond to inbound inquiries and route them to the right person
- Support outreach by scheduling calls, sending follow-up materials, and confirming details
- Help coordinate tastings, sample drop-offs, and event logistics
- Prepare menus and pricing for the sales team and answer routine client questions
Learning & Development (10%)
- Grow toward a client-facing sales or account role.
- Shadow the CEO and Biz Dev Manager on calls, meetings, and pitches
- Take notes, capture action items, and complete follow-ups
- Build product, menu, and market knowledge over time
Cross-Functional & General Support (10%)
- Support the broader team as priorities require.
- Coordinate with operations, culinary, and account management on shared work
- Assist with catering and event support as needed
- Take on additional administrative duties that help the sales team succeed
Qualifications
Required Qualifications
- 0 to 2 years of professional experience, or equivalent transferable experience from another field
- Highly organized with strong attention to detail
- Strong written and verbal communication skills
- Comfortable using Google Workspace or Microsoft Office
- Genuine eagerness to learn sales and business development
- A commitment to personal accountability and continuous learning
- Ability to manage multiple priorities in a fast-paced environment
Preferred Qualifications
- Interest in food service, hospitality, or sustainability
- Familiarity with a CRM platform (HubSpot preferred)
- Experience with project management software (Asana preferred)
- Bachelor's degree or equivalent experience

Role Details
- Title: Sales Coordinator
- Job Type: Full-time, Hourly, Hybrid
- Location: New York City
- Schedule: Monday through Friday. Occasional evenings or weekends for events based on business needs
- Reports to: Director of Business, with day-to-day mentorship from the CEO and Biz Dev Manager
- Wage: $25-30/hour
