Job summary

Gourmet Dining & Chartwells Higher Education at Kean University in Union, NJ is seeking a full-time Catering Administrator to provide clerical and administrative support for food service programs.

The role requires prior experience as a catering coordinator; experience in higher education dining operations is a plus, with pay from $20.00 to $25.00 per hour.

You will coordinate events, manage client communications, billing, and documentation, ensuring accurate records and on-time service.

Responsibilities

• Coordinate catering events from inquiry through completion, including menus, guest counts, timelines, room logistics, equipment, and service requirements.

• Coordinate with culinary, service, delivery, and management teams to ensure staffing, food, beverages, equipment, and supplies are prepared.
• Maintain event records, pricing, contracts, POs, and billing information; address client questions promptly.

Additional Job Duties:

• Event Planning & Execution — Coordinate catering events from initial inquiry through completion, confirming menus, guest counts, timelines, room logistics, equipment, and service requirements to ensure successful execution.
• Client Communication & Order Management — Serve as the primary point of contact for clients, accurately documenting event details, communicating policies and deadlines, processing changes, and ensuring final event specifications are confirmed in advance.
• Operational Coordination — Communicate event requirements to culinary, service, delivery, and management teams; prepare event documentation and ensure staffing, food, beverages, equipment, and supplies are properly scheduled and available.
• Billing, Documentation & Follow-Up — Maintain accurate event records, pricing, contracts, purchase orders, and billing information; reconcile event details after service and address client questions or service concerns promptly and professionally.

Job Summary

Summary: Responsible for clerical functions and administrative support of food service programs.

Essential Duties and Responsibilities:

• Answer telephones and direct inquiries in a professional and client centric manner.
• Maintain confidential personnel files.
• Assist management staff in preparing confidential employment and labor relations documents, including but not limited to proposed disciplinary notices.
• Assist with staffing, including finding staff when employees call out on short notice.
• Work effectively and maintain good working relationships with co-workers, school personnel, administrators, student's parents and Supervisor.
• Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable.
• Enter weekly cash sales and meal counts using computer.
• Perform daily bank deposit reconciliation.
• Process vendor invoices for payment - using computer, making sure addition is correct and checking item prices against bid specifications, making sure there is no discrepancy in pricing.
• Perform monthly vendor statement reconciliation.
• Prepare monthly state claim form for reimbursement.
• Assist in preparation of end of month financial reports.
• Attend in-service and/or safety meetings as required.
• Maintain clean and safe work environment; ability to perform job safely.
• Performs other duties as assigned.
