  • Collect payments on invoices and accounts.
  • Support accounts receivable with routine inquiries.
  • Prepare and send documents (invoices, purchase orders).
  • Maintain data on spreadsheets and forms.

I. General Job Description

This position will be responsible for supporting all departments in the store by greeting visitors, handling incoming calls, handling cash transactions, and performing general daily duties. The position may also assist other staff with overflow work, including word processing, data entry, and research tasks.

Responsibilities
  • General office duties (answering calls, maintaining office supplies, mail and circulation), customer service, maintaining vendor contact information, and assisting department managers.
  • Post inbound inventory and assist in inventory cycle counts.
  • Daily cash, invoice, and credit card reconciliation, banking, and deposits.
  • Collect payment on invoices and accounts.
  • General account reconciliation and field questions from Accounts Receivables.
  • Assist accounting and collections with local customers.
  • Separate parts invoices and mail to customers.
  • Assist customers with minor account details.
  • Maintain data on spreadsheets and forms and send documents (invoices, purchase orders, etc.).
II. Minimum Job Qualifications
  • 18 years of age.
  • High school diploma/GED.
  • 1 year of work experience.
III. Desired Job Qualifications
  • Demonstrated skills with Microsoft Office Suite.
  • Excellent interpersonal and written skills.
  • Ability to read technical procedures, write reports, and business correspondence.
  • Ability to effectively respond to questions from clients, customers, and the public.
IV. Mental Capability Requirements
  • Comprehension: Ability to understand, remember, and communicate routine, factual information.
  • Organization: Ability to organize and prioritize work schedule on short-term basis (more than 1 month).
  • Reasoning & Decision Making: Ability to apply common sense in performing job.
  • Communication: Ability to use and complete routine forms and/or conduct routine oral communication.
  • Mathematics: Ability to add, subtract, multiply, divide, record, balance, and check results for accuracy.

Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this job, the employee is not exposed to weather conditions. The noise level in the work environment is usually moderate.
