Job summary

One Hope United in Illinois seeks a Case Aide to assist IPS case managers and clinicians with case file preparation and maintenance, ensuring alignment with DCFS obligations. You will support intake procedures, CQI, COA, and contract reviews while collaborating across teams to manage client data securely.

The role emphasizes discretion, strong communication, organization, and adaptability in a dynamic, child-focused environment. A valid driver’s license and reliable transportation are expected.

Qualifications

  • One year administrative assistant experience with excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook) and Adobe Office, or equivalent combination of education/experience.
  • Experience handling confidential information and working in a team environment.

Responsibilities

  • Reports to the Child Abuse Hotline as directed by the Mandated Reporter Act.
  • Provide exceptional customer service to parents, foster caregivers, referring case agencies, and team members.
  • Conduct frequent regional and all-state in-person and virtual team meetings with staff, referring case agency and community partners.
  • Participates in frequent agency management meetings and work groups.
  • Maintain discretion and confidentiality of client data.
  • Submit expense vouchers and renew driver's licenses and auto insurance as due.
  • Support creation and maintenance of program information in Microsoft Teams and SharePoint.
  • Assist with updating client demographic data in the IPS database.
  • Ensure weekly filing of IPS, Mentoring, and FPSS documents in client files.

Job description

Under the assigned supervisor, Case Aides are responsible for assisting Intensive Placement Stabilization (IPS) case managers and clinicians in the preparation and maintenance of client case files to ensure they receive the comprehensive care outlined by the IPS case manager and Clinician team. The role of Case Aides extends from supporting IPS Case Managers and IPS Therapists with a variety of administrative tasks. They collaborate with Intensive Placement Stabilization (IPS) case managers and clinicians to ensure that their client’s digital tracking, files, and paperwork are aligned and meet expectations per the Department of Children and Family Services (DCFS) contractual obligations. IPS Case Aides support the streamlining of intake procedures, internal and external Continuous Quality Improvement (CQI), Counsel of Accreditation (COA), and DCFS contract reviews. IPS Case Aides are required to use independence (or work under the direction of a supervisor) when performing

job tasks/providing services. IPS Case Aides are expected to actively participate in a variety of cross functional teams, training, and performance improvement initiatives.

Responsibilities

  • Will Maintain discretion, as they are entrusted with a client’s personal information and knowledge of their unique situation. This confidentiality extends to ensuring client data is secure
  • Reports any exposure to communicable diseases
  • Submits expense vouchers, renewed driver's licenses, and automobile insurance coverage on the due date
  • Support the creation and maintenance of programmatic information in Microsoft Teams and on the SharePoint site
  • Will assist with updating client demographic and other data in the IPS database
  • Will ensure weekly filing of all IPS, Mentoring, and FPSS documents in client files
  • Direct paperwork to client files and archive files according to predetermined storage procedure with AOA and direct supervisor
  • Create client files and paperwork packets to be used for client meetings by IPS case managers and clinicians
Qualification

Education:

Experience:

  • One year administrative assistant experience with Excellent written and verbal communication skills. Proficient in all Microsoft, Excel, and Adobe Office applications or equivalent combination of education or experience, preferred.
Other
  • Reliable transportation, valid driver’s license, and acceptable driving record with OHU required levels of coverage for auto insurance Parenting training are appreciated but not required.

  • Proficient computer skills in a Microsoft Windows environment and adaptive skills to expand software application skills, as necessary
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule Form.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals

Physical Demands & Work Environment

The physical demands described here are representative of those that must be met by an employee tosuccessfully perform the essential functions of this job. The position requires visual and auditory acuitywithin professionally determined normal ranges, with correction if needed; and manual dexteritysufficient to operate a computer and office equipment, including, but not limited to, the telephone,computer, and copier. The employee is occasionally required to move items up to 50 pounds.The employee works in varied residential environments based on an assigned caseload and mayencounter unpredictable clients. While performing the duties of this position, the employee travels byautomobile and is exposed to changing weather conditions. The employee must be able to enter andexit a vehicle or a building without assistance. While performing the duties of this job, the employeemay frequently drive an automobile, taking clients to appointments, in the local and regional areas.Occasionally, travel is outside the local area and overnight.
