Job Description

POSITION PURPOSE: Provides financial, accounting, purchasing, and administrative support to promote efficient and compliant fiscal operations for a middle school or district office department. Maintains accurate records for procurement and purchasing activities, contracts, budgeting, accounts payable, cash management, and student obligations. Delivers responsive customer service to staff, students, parents, the public, and vendors. The position requires sound judgment, confidentiality, organization, and the ability to manage multiple priorities.

ESSENTIAL FUNCTIONS:

  • Verify budget availability and adherence to district procurement procedures.
  • Obtain quotes and coordinate purchases for supplies, equipment, and services in accordance with Beaufort County School District's procurement policies.
  • Communicate with vendors regarding orders, pricing, deliveries, and payment inquiries.
  • Receive and document purchased goods and services; inventory, distribute, and maintain records for supplies and equipment.
  • Reconcile procurement card transactions and maintain required supporting documentation.
  • Process purchase orders, invoices, travel requests, and other financial transactions.
  • Collect, receipt, record, and deposit funds in accordance with district cash-handling procedures.
  • Maintain accurate financial records and account balances in the district's financial system and reconcile Imprest bank statements.
  • Assist with monthly, quarterly, and yearly financial reconciliations.
  • Serve as a financial resource for administrators and staff.
  • Prepare financial reports and supporting documentation as requested.
  • Ensure compliance with district, state, and federal financial regulations.
  • Respond to inquiries from employees, vendors, and parents.
  • Perform data entry, filing, record retention, and other support duties.
  • Maintain confidentiality of student, employee, and financial information.
  • Oversee financial activities associated with athletic programs and student organizations.
  • Manage online payment platforms and athletic ticketing systems.
  • Reconcile athletic event revenues, gate receipts, and related financial transactions.
  • Support the supervisor and other department staff by preparing routine reports and correspondence; maintaining organized electronic and paper records; processing and distributing incoming communications; updating logs, lists, and shared files; coordinating document workflows; and distributing payroll-related communications and other administrative materials.

ADDITIONAL DUTIES: Performs other related tasks as assigned by the Principal, Chief Officer, Superintendent or other district office administrator as designated by the Superintendent.

QUALIFICATIONS:

  • Bachelor's degree preferred.

EXPERIENCE:

  • Four years of bookkeeping experience required.
  • Proficiency with Microsoft 365 applications, including Word, Excel, Outlook, and PowerPoint, and the ability to use financial, procurement, online payment, and ticketing systems.
