About the Role

As a Buyer II, you will enable Xaira’s growth through the development and management of our supplier relationships that optimize Xaira’s bottom line and fuel product development through on-time availability of quality raw material and services. This position reports into the Business Operations team, and works closely with Scientists, Researchers and Administrative personnel. This candidate will advance Xaira’s growth through the day-to-day administration of procurement, as well as longer-term efficiency and improvement efforts.

Key Responsibilities

  • Process purchase requisitions and purchase orders in a timely manner. Ensure requests leverage preferred suppliers and B2B enablement, reviewing and/or revising for appropriate approvals, quantities, and descriptions to ensure accuracy.
  • Analyze daily backorder situations, perform necessary follow-up and expediting activities to ensure delivery of orders, minimize backorders, and meet business requirements.
  • Weekly review of open POs; update PO delivery dates, proactively communicate delivery delays with requesters, and past due orders with suppliers.
  • Work with the Supply Chain team to seek and evaluate sources of supply for new products/services, alternate sources for existing products.
  • Develop forums to connect preferred supplier capabilities with the needs of the company.
  • Develop, execute and analyze results from RFQs and RFPs, performing price, cost, and value analyses, prepare and present recommendations.
  • Negotiate terms with suppliers such as pricing, lead time, warranty and service support.
  • Manage with vendors the replacement of defective material, cancellation of orders, rescheduling of delivery dates, pricing, and delivery discrepancies. Ensure credits are received when product is returned to suppliers.
  • Resolve supply chain issues through sourcing of alternative products and/or vendors.
  • Work with internal stakeholders to maintain internal timelines, provide solutions for unforeseen supply chain issues, and communicate realistic expectations.
  • Generate daily reporting of accurate open purchase orders, delivery dates and issues.
  • Actively identify, prioritize and drive Procure-to-Pay process improvements to reduce procurement lead time, improve efficiency and effectiveness.
  • Initiate, negotiate and execute supplier agreements including NDAs, MSAs.
  • Manage procure-to-pay KPIs.

Qualifications

  • Bachelor’s Degree in Supply Chain, Operations, Business or Science preferred.
  • 2+ years experience in Purchasing or Supply Chain.
  • Relevant experience in the Life Science, Data Science or Medical Device industry, including experience with ISO and FDA regulations preferred.
  • Experience with indirect Procurement software such as Coupa or Point Purchasing.
  • Ability to critically think, problem solve, and work efficiently under pressure.
  • Ability to work flexibly, changing priorities as needed.
  • Agility in managing multiple tasks within tight deadlines.
  • Self-motivated individual who can work independently and within a team to get results.
  • Ability to work independently, typically initiating own tasks with input/mentorship from the manager.
  • Excellent written and oral communication skills with a high level of diplomacy across different levels of workplace seniority.
  • Experience developing, reporting and managing P2P KPIs. Strong written and oral communication skills. (Clear, concise and honest) verbally and in writing.
  • Strong data analytical and problem solving skills with attention to detail.
  • Ability to lift and/or move up to 25 lbs.

Compensation

The base pay range for this position is expected to be $110,000 - $135,000 annually; however, the base pay offered may vary depending on the market, job-related knowledge, skills and capabilities, and experience.
