Job summary

Citco is seeking a highly experienced Senior Coordinator to lead the billing process for our fund administration teams. The role requires advanced Excel proficiency, data analytics expertise, and strong collaboration with Finance, Legal, and Client Services to ensure accurate invoicing and revenue recognition.

You will manage cross-regional staff, oversee complex contracts, and drive process improvements while delivering strategic analytics and reporting to senior leadership.

Qualifications

• BA in Accounting or related field.
• 3+ years of relevant work experience in data-driven roles.
• Advanced Excel skills with data modeling and reporting tools.
• Experience with contract management platforms (e.g., Icertis) and senior stakeholder communication.

Responsibilities

• Oversee the complete Billing Process Management and improve invoicing efficiency.
• Ensure revenue recognition aligns with accounting principles and company policies.
• Lead reconciliation of billing accounts and resolve discrepancies; partner with finance leadership.
• Manage relationships with internal stakeholders and contracts for billing alignment.
• Coordinate cross-functional initiatives with Fund Accounting, Client Services, Sales, Legal, etc.
• Produce high-level management reporting and drive data analytics and trend analysis.

As a core member of our Chief Administrative Office (CAO), the Business Services Senior Coordinator will be a key contributor directly reporting to the Business Services Manager. We are seeking a highly experienced and detail-oriented Senior Coordinator with strong data analytics expertise and advanced Excel proficiency to lead and oversee the entire billing process for our clients. These skills are integral to daily operations within the role. The ideal candidate will ensure accuracy, timeliness, and compliance with contractual agreements while leading process improvements, supporting team members, and maintaining strong interdepartmental relationships at a senior level.

Your Role

1. Billing Process Management

• Lead and oversee the complete billing cycle strategy across the team
• Drive and implement strategies to improve efficiency and reduce errors in invoicing
• Review and approve accurate invoices prepared by junior staff
• Support staff across in regional locations on best practices

Financial Oversight

• Ensure proper revenue recognition in accordance with accounting principles and company policies
• Lead reconciliation of billing accounts and resolve complex discrepancies
• Collaborate with finance leadership on revenue recognition strategy

Internal Stakeholders and Contract Management

• Manage complex relationships and escalations
• Review and approve service agreements and contracts for billing alignment
• Oversee contract negotiations and complex engagement letters via Icertis (Contract Management System) or similar platforms

Cross-functional Collaboration

• Lead cross-departmental initiatives with Fund Accounting, Client Services, Sales, Legal etc.
• Liaise with senior stakeholders across departments
• Coordinate strategic billing information gathering and generation as required

Data Management and Reporting

• Produce high-level management reporting and present findings to leadership
• Drive data analytics strategy and process improvements
• Oversee advanced Excel reporting tools and systems
• Analyze trends for strategic decision-making

About You

• BA in Accounting, Business Management, Finance or Data Analytics, or relevant qualifications.
• 3+ years relevant work experience, preferably in a data-driven or analytical role
• Financial Services industry experience is preferred but not required
• Advanced Microsoft Excel proficiency is required – daily use of complex formulas, data modeling, and reporting tools
• Experience with contract management platforms (e.g., Icertis) is preferred
• Experience communicating with senior stakeholders and cross multiple regions
• Ability to work collaboratively with teams globally
