Qualifications

  • Bachelor’s degree in business administration, finance, healthcare administration, or a related field is preferred.
  • CPR or BLS certification preferred.
  • Experience in a similar role, preferably within a senior living community or healthcare setting.
  • Understanding of basic accounting, billing, accounts receivable, and financial reporting.
  • Proficiency in Microsoft Office and HR or EHR systems.

Responsibilities

  • Oversee the business office functions, including marketing support, tours, and community events.
  • Plan and implement strategies for efficient operation of the community.
  • Prepare financial and operational reports regularly for leadership.
  • Serve as principal receptionist and handle incoming inquiries as needed.
  • Perform management duties in the absence of the Executive Director.
  • Manage HR tasks: ATS, onboarding, training, and workers' compensation reporting.
  • Maintain payroll data submission accuracy with HR.
  • Reconcile credit card transactions and code receipts.
  • Submit change requests to Home Office as resident billing and activity occur.
  • Track and bill resident accounts for one-time charges in the PM system.
  • Act as primary contact for residents and families on billing, contracts, payments, and inquiries.
  • Assist at residents/POAs with LTC insurance submissions.
  • Maintain accurate and compliant resident and employee files.
  • Order office supplies as needed.
  • Ensure effective communication between staff and residents' families about care and wellbeing.
  • Collaborate with management; resolve conflicts and take initiative as needed.

Position Summary:

The Business Office Manager, reporting directly to the Executive Director, plays a key role within the community and organization. This position is responsible for supporting the Executive Director and collaborating with other department heads to serve residents and their families, while also serving as the point of contact for community employees with questions or concerns. In addition, the Business Office Manager manages the financial and human resource duties within the community and functions as the primary contact for billing and onboarding processes.

Essential Functions:
  • Manage the functions of the business office, including assisting with marketing activities, conducting tours, and participating in community events.
  • Participate in planning and implementing strategies established for the efficient and effective operation of the community.
  • Prepare financial and operational reports on a regular basis (monthly or weekly) to provide insights to the Executive Director or Home Office.
  • Serve as principal telephone and office receptionist, as necessary.
  • Perform management duties in the absence of the Executive Director
  • Manage HR tasks, including applicant tracking system (ATS) management, onboarding, training, and reporting workers' compensation claims, ensuring compliance with state regulations and internal policies.
  • Maintain employee timecards and ensure accurate and timely submission of payroll data to Human Resources.
  • Reconcile credit card transactions, including coding receipts and providing relevant transaction information.
  • Submit change requests to Home Office timely as resident billing and activity occur, providing comprehensive supporting documentation.
  • Track and bill resident accounts for one-time charges in the property management system.
  • Act as the primary point of contact for residents and their families handling billing, contract questions, payment issues and other business-related inquiries, delivering excellent customer service and support.
  • Assist at residents/POAs request with submissions of invoices to LTC insurance.
  • Manage and maintain accurate and compliant resident and employee files.
  • Order office supplies as needed.
  • Ensure effective communication is being utilized by community staff with the residents’ families concerning residents’ care, encompassing their physical, personal, and emotional wellbeing.
  • Work well with others and take direction from management, as well as taking initiative with the capability to engage in conflict intervention and resolution for residents, families, employees, and others as needed.
  • Other duties as assigned.

  • Demonstrated proficiency in common digital tools and applications, including Microsoft Office programs (Outlook, Excel, Word), web-based platforms, electronic health record systems, and any HR-related systems as applicable.
Working Conditions:
  • This position may need to walk or stand for extended periods and move throughout the community, resident apartments, and other areas of the community.
  • While performing the duties of this job, the employee may occasionally be required to stoop, kneel, crouch, or crawl, as well as climb or balance.
  • While performing the duties of this job, the employee is required to communicate effectively and identify/interpret written information.
  • This position may need to lift up to fifty (50) pounds independently, and up to 200 pounds with assistance.
  • Individuals in this position are required to follow all infection prevention and control protocols, including the use of personal protective equipment (PPE) when necessary, to ensure the health and safety of residents, staff, and visitors.
  • This role involves actively participating in all staff activities aimed at fostering teamwork, unity, and morale. The individual will contribute as a collaborative team player, working alongside colleagues to create a supportive and cohesive work environment.
