The Business Manager is a professional administrator who reports directly to the Pastor, and responsible for supporting the Pastor in planning, directing, and coordinating the financial and facilities management, and basic human resources operations of the parish. Additionally, the business manager assists the Pastor with the stewardship of the physical, financial, and human resources for the parish which will strengthen the Church and give the appropriate administrative foundation to support the pursuit of the parish’s mission, ministry, and growth.
DUTIES AND RESPONSIBILITIES
Coordination of Parish Ministries and Services
- Oversee the coordination and recruitment of all ministries and services, especially those headed by parishioners and other volunteers.
- Direct scheduling for all parish activities and ensure that adequate space and materials are available in parish facilities for the delivery of ministries and services.
Human Resources Responsibilities
- Assist the pastor in recruiting, hiring, and dismissing employees with the guidance of the diocesan Human Resource Department; maintain an adequate level of knowledge on current employment laws.
- Supervise parish employees not directly accountable to the pastor.
- Distribute the most current diocesan employee handbook to all parish employees and ensure all employees sign the handbook in electronic or physical signature.
- Provide new employees with orientation subject to the parish employee handbook.
- Establish and maintain position descriptions and personnel evaluations for employees.
- Serve as Family and Medical Leave Administrator.
Administrative Responsibilities
- Coordinate with pastor, staff and volunteers to participate in staff planning and operational meetings; conduct significant dialogue with the pastor so that he is fully apprised of matters being considered and acted on by the parish.
- Maintain accurate parish and facilities records including repair, construction, and financial.
- Ensure compliance with the policies, procedures and guidelines of the Protected Self Insurance Program of the Diocese of St. Augustine directed by the Diocesan Director of Risk Management.
- Attend diocesan training and workshops conducted by the Office of Human Resources and the Diocesan Fiscal Office.
- Facilitate communications within parish departments and outside agencies or groups, both civic and religious.
- Come prepared to meetings appropriate to the position, attend weekly business manager meetings.
- Assure that sound financial management is practiced by the parish. This includes the development and monitoring of budgets; assurance of timely and accurate reporting to parishioners, the diocese, and various government agencies; assurance of proper deposit, disbursement, and accounting for all parish community-related funds; and oversight of all major fundraising activities.
- Seek approval from the pastor in concert with the policies, procedures, and guidelines set forth by the diocese regarding financial and temporal transactions; ensure compliance with the policies of the diocesan Fiscal Office.
- Review budget and financial reports in conjunction with the pastor and finance council.
- Act as a liaison on behalf of the parish with the diocese and other entities regarding fiscal responsibilities.
- Complete all Budget Preparation and Implementation, with the assistance of the Pastor, Finance Council and diocesan Shared Services department.
- Present financial reports to the Finance Council and assist the Finance Council as needed.
- Receive and handle in a professional manner all incoming calls and visitors with requests for financial information, bookkeeping questions, etc.
- Work with volunteer counters who securely count offertory and deposit in the bank.
- Prepare and transmit deposit reports, bills, receipts, invoices, credit card transactions, account transfers and other financial documents in a timely manner to the diocesan Shared Services department in compliance with the current contract.
- Prepare weekly deposit report for the Pastor, process weekly on-line giving transactions, process payroll per payroll schedule, prepare diocesan Savings & Loan documents as needed.
- Perform other related duties as assigned by the Pastor.
KNOWLEDGE, SKILLS, AND ABILITIES
- BA/BS degree in Business, Finance, Accounting, or related business discipline from an accredited college.
- Must have the ability to develop and maintain positive relationships with employees at all levels.
- Ability to face situations firmly, courteously, tactfully, and with respect for the rights of others.
- Requires a high level of computer expertise in Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.
- Practicing Catholic and registered member of a Catholic parish faith community, preferred.
- Must have the ability to respect, promote, accommodate, and not be in conflict with the mission, moral and social teachings, doctrines, and laws of the Roman Catholic faith.
- Must be flexible, innovative in a fast paced, time-critical environment and have the ability to work independently.
- Must be able to organize and prioritize work, be proactive, take initiative, resolve complex problems, follow through, and simultaneously manage multiple priorities.
- Performs work at a high level of accuracy and attention to detail.
- Strong interpersonal, written, and verbal communication skills, including ability to produce clear, concise reports and recommendations and make presentations to varied groups.

- Must have successful experience in a supervisory capacity.
- Must successfully pass the required fingerprint background check prior to employment and maintain clearance.
- Must maintain a valid driver’s license.
LANGUAGE SKILLS
Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.
