Reports To: Building Automation Systems Division Director

Position Summary

The Building Automation Specialist supports the execution of building automation system (BAS) projects by managing project documentation, tracking schedules and deliverables, and producing engineering submittals for HVAC controls systems. This role serves as the link between project management, engineering, and field installation teams, ensuring that submittals, schedules, and project records are accurate, complete, and delivered on time to meet contractual and customer requirements.

Key Responsibilities

Project Tracking

  • Maintain project schedules, logs, and tracking tools to monitor submittal status, equipment lead times, RFIs, and overall project milestones
  • Coordinate with project managers, engineers, and subcontractors to ensure deliverables align with contract schedules
  • Track open action items, change orders, and outstanding documentation requirements across multiple concurrent projects
  • Generate status reports and dashboards for internal teams and customers
  • Flag schedule risks or delays proactively and elevate issues as needed
  • Maintain organized project files, including submittals, approvals, RFIs, and as-built documentation

Submittal Engineering

  • Prepare and compile BAS submittal packages, including equipment schedules, control drawings, sequence of operations, points lists, panel layouts, and product data sheets
  • Review project specifications and contract documents to ensure submittals meet engineering and code requirements
  • Coordinate with engineering, sales, and manufacturers to gather accurate technical data for submittal content
  • Process submittal review cycles, incorporating engineer/architect comments and tracking revisions through to final approval
  • Ensure submittals comply with project specifications, applicable codes, and customer standards
  • Support development of control drawings and points lists using BAS software/drafting tools (e.g., AutoCAD, Visio, or manufacturer-specific design tools)
Qualifications

Education & Experience

  • Associate's or Bachelor's degree in Mechanical Engineering, Electrical Engineering, Engineering Technology, or related field (or equivalent experience)
  • 2+ years of experience in building automation, HVAC controls, mechanical/electrical construction, or a related technical field
  • Experience with submittal processes and project documentation in a construction or controls environment preferred

Skills & Competencies

  • Strong understanding of HVAC systems, controls sequences, and BAS components (controllers, sensors, actuators, valves, dampers)
  • Proficiency with Microsoft Office (especially Excel) and project tracking/scheduling tools (e.g., MS Project, Procore, Smartsheet)
  • Familiarity with CAD or drafting software for control drawings
  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously
  • Strong written and verbal communication skills for coordinating with internal teams, contractors, and clients
  • Detail-oriented with strong document control and quality-review habits
  • Ability to read and interpret construction specifications, mechanical drawings, and contract documents
Work Environment
  • Primarily office-based with occasional site visits to support project coordination
  • May require collaboration across multiple project locations located in WV and surrounding cities in KY, PA, and VA
  • Some local travel may be required for project meetings or site walks
