Accountable To: Budget manager

FLSA Status: Exempt

Summary: Under general direction, incumbent(s) assists the Special Services Department in budget oversight and management. In addition, incumbent(s) collaborates with state agencies and District departments in regards to the Special Services budgetary processes, ensuring budgetary processes are compliant with the applicable state and federal regulations.

Essential Functions:

  • Communicates and works positively and cooperatively with all staff populations, serving as a liaison between the Special Services Director, the Finance Department, schools, district administrators, and all district-level offices in relation to monitoring and managing MIPS (Medicaid in Public Schools) budget and compliance.
  • Maintains compliance information on all Special Services funding, including but not limited to MIPS, Medicare, and state and federal grants.
  • Manages all Special Services funds including budget, position tracking, and approval of requisitions related to MIPS.
  • Works with grant coordinators related to various grant applications and amendments.
  • Works and completes all finaicial and aspects of some federal and state grants including budget maintains, GME compliance and completion reports.
  • Updates and maintains database of students and staff who may participate in the Medicaid Outreach Program; assists with registration processes as needed.
  • Monitors and updates State provided information related to allowable funding for Medicaid reimbursable items. Prepares various reports as required.
  • Maintains financial compliance with state and federal statutes.
  • Prepares and submits all required paperwork to assure District and government compliance using grant funds to include individuals’ salaries and/or stipends, purchases and requisitions, contractual obligations, travel, conference registrations, equipment and other capital outlay, and all other expenditures.

Required Qualifications:

To be eligible for this position, an applicant must meet the following required qualifications. Verification of these required qualifications is necessary.

  • High school diploma or G.E.D
  • Obtain and maintain a valid Arizona Identity Verified Prints (IVP) Fingerprint Clearance Card (AZ IVP FPCC).

Preferred Qualifications:

It is preferred that applicant possesses the following preferred qualifications; however, the following qualifications are not required to be eligible for this position.

  • Associate Degree in accounting, finance, economics or related field
  • Three (3) years experience in school finance or other related fields
  • Experience with school finance software and MIPS related software
