Job summary

Pascua Yaqui Tribe is seeking a Budget Specialist responsible for routine budget oversight across the Social Services Department. The role includes revisions, research, training and data entry, while handling grant documents and routine accounting duties under the Social Services Director and Managers.

You will support grant formulation, establish tracking for grants, and manage financial records, reports and year-end closing with accuracy and confidentiality.

Qualifications

  • Associate Degree in Accounting or Business Management or 3 years of finance/accounting experience.
  • Must be proficient in Excel.
  • Associates Degree in Accounting or a related field is preferred.

Responsibilities

  • Assist in budget formulation for new and existing grants.
  • Establish budget tracking, training and data base for new and existing grants.
  • Perform basic office duties including phones, copying, filing, and cash receipts.
  • Process, review, and route financial forms, reports, timesheets, verifications, POs, check requests and other documents.
  • Provide customer service to employees and the public; address questions and refer issues.
  • Process POs, invoices, payments, travel reimbursements and petty cash disbursements.
  • Prepare fiscal reports and verify data accuracy as needed.
  • Maintain accounting records including journal entries, GL, budget files, grants/files.
  • Assist with year-end closing for all programs.
  • Maintain monthly closing documents and organization.
  • Perform other duties of similar nature as needed.

Job description

The Budget Specialist will perform routine budget oversight of all budgets for the Social Services Department. Incumbent will perform budget revisions, budget training, data entry, conduct budget research, prepare budget documents for grants, process documents (R&E Reports) travel documents, budget reports, deposits and routine billing and other accounting duties under the direction of the Social Services Director and Managers.

  1. Assist in the budget formulation for new and existing grants.
  2. Establish budget tracking, training and data base for new and existing grants,
  3. Perform basic office duties, such as answering phones, copying, filing, preparing, sorting, preparation of cash receipts, entering accounting data and disbursement entries.
  4. Process, review, and route a variety of financial forms, reports, timesheets, verifications, purchase orders, check request and other documents.
  5. Provide customer service to employees and the public; answer questions, review forms and refer issues to appropriate personnel when needed.
  6. Process incoming and outgoing purchase orders, invoices, payments, travel reimbursements and petty cash disbursements.
  7. Prepare fiscal related reports as needed for assigned area; research and verify accuracy of necessary data.
  8. Maintain comprehensive accounting records including journal entries, general ledger documents, budget records, financial report, and grants and contract files for assigned programs/departments.
  9. Assist with year-end closing for all programs.
  10. Responsible for the maintenance and organization of the monthly, closing, documents.
  11. Perform other duties of a similar nature or level as requested by supervisor or director.
Knowledge of:
  • Applicable local, state and federal laws, rules and regulations (CFR200);

  • English language, grammar, and punctuation;
  • Report preparation techniques;
  • Yaqui culture, customs, resources and traditions and/or a willingness to learn.

  • Using proper English, grammar, punctuation, and spelling;
  • Provide customer service;
  • Follow oral and written instructions, policies, and procedures;
  • Operate a variety of office equipment, including a computer and related software applications;
  • Good communication and interpersonal skills as applied to interaction with co-workers, supervisor, management, Council members, and the public. Have ability to sufficiently exchange or convey information and receive verbal and written work instructions.

Associate Degree in Accounting or Business Management or three (3) years of experience in Finance, Accounting or a related field; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

AND

  • Must be proficient in Excel;
  • Associates Degree in Accounting or a related field is preferred.
Special Requirements:
  • Must possess and maintain a valid Arizona Driver's License;
  • This position will require the incumbent to work non-traditional hours, nights, and weekends.
  • Must have a current Level 1 Arizona Clearance Card, Tribal Gaming License, and Homeland Security Background Check or be able to obtain one within ninety (90) days of hire. Failure to maintain a current Level 1 Clearance Card will result in termination.
