The BIM Coordinator also verifies alignment between client scope documents and survey-based conceptual drawings, maintains program tracking and performance reporting, and communicates status, capacity, and risks to the Senior Manager. This position helps ensure reliable survey data supports accurate downstream design deliverables across a growing portfolio of clients.

Supervision Level

Reports to Senior Manager, Automated Security Design Services.

This position has no direct reports. The incumbent coordinates subcontracted field resources and works cross-functionally with the Subcontractor Manager, contracts and work order administration, design staff, the Security PMO, and client program counterparts.

Responsibilities
SURVEY INTAKE AND PLANNING
  • Receives and logs survey requests across all ADS client programs, and maintains a single view of the survey pipeline.
  • Validates scope at intake, including site list, door counts, facility type, access requirements, and survey window.
  • Confirms required client-provided inputs are in hand before scheduling, including floor plans, existing system documentation, load schedules, and panel configuration data.
  • Forecasts survey demand and resource requirements across programs, and flags capacity constraints early.
RESOURCE IDENTIFICATION
  • Works with the Subcontractor Manager to identify qualified subcontracted survey resources by region, based on bench strength, available capacity, qualification, and past performance.
  • Assesss required surveyor-days against the client's survey window and identifies where crew size or schedule must change to meet the commitment.
  • Presents the resource recommendation to the Senior Manager for approval prior to engagement.
  • Reviews the subcontractor's plan of execution and reconciles it against the program deadline and access lead-time requirements.
SCHEDULING AND MOBILIZATION
  • Schedules surveys against program lead-time requirements, including the minimum lead time from survey confirmation to mobilization.
  • Confirms site access, escorts, badging, and facility clearances with the client in advance of each scheduled survey.
  • Coordinates travel and mobilization logistics with the assigned subcontractor.
  • Manages reschedules, cancellations, and remobilization, and identifies the commercial impact for disposition.
WORK ORDER AND COMMERCIAL COORDINATION
  • Works with contracts administration to issue work orders for each survey engagement, applying pricing direction provided by the Senior Manager.
  • Confirms site list, door counts, and scope on the work order prior to issue.
  • Identifies conditions discovered in the field that exceed program assumptions and routes them for change order disposition.
  • Tracks work order status through to closeout and invoicing readiness.
FIELD EXECUTION OVERSIGHT
  • Manages survey check-in and check-out with the subcontracted resource and the client site point of contact.
  • Monitors survey progress daily against the plan of execution and reports deviations immediately.
  • Serves as the first escalation point for field issues, access failures, and site-not-ready conditions.
  • Documents field conditions that affect scope, schedule, or cost.
TECHNICAL QUALITY CONTROL
  • Performs technical quality control on returned survey data against program standard, including door-level device capture, device classification, electrified hardware and reader documentation, communications room and head-end capture, panel capacity, naming conventions, and photographic completeness.
  • Verifies the field data platform record is complete, correctly structured, and consistent across the site before release to design.
  • Returns non-conformant surveys to the subcontractor with documented findings and manages the correction cycle to closure.
  • Confirms survey completeness and notifies the client that the survey is complete.
  • Releases verified survey data to the design team and confirms the handoff.
BID AND SCOPE VERIFICATION
  • Reviews bids and scope documents received from the client against the conceptual drawings finalized in the field data platform from our site surveys.
  • Verifies that device counts, device types, and device locations on the bid reconcile to the survey record and the conceptual design.
  • Identifies discrepancies, omissions, and scope gaps before the package reaches the design team.
  • Documents findings and routes them to the client for resolution ahead of design start, so the scope baseline is settled before design work begins.
  • Confirms alignment between the approved scope and the survey data released to design.
TRACKING AND PROGRAM REPORTING
  • Maintains the survey register across all client programs as the single source of truth for survey status.
  • Tracks cycle time against committed service levels, including request to schedule, schedule to mobilization, and survey completion to design release.
  • Builds and maintains dashboards and throughput reporting covering survey volume, capacity utilization, quality findings, and schedule performance.
  • Reports program status, capacity, risk, and escalations to the Senior Manager on a defined cadence.
CLOSEOUT AND CONTINUOUS IMPROVEMENT
