Summary:

Position requires medical/behavioral office knowledge and the ability to input data accurately into computer system. Must be detail oriented with good interpersonal and customer service skills. Assists/directs patients with questions and inquiries. Supports the health center to provide quality and effective care to the patients served. Works under the daily supervision of the site manager. Behavioral Health experience is strongly desired.

This position is considered to be at risk for exposure to blood borne pathogens. Selected immunizations are a required prerequisite. This position requires access to transportation.

Essential Functions:
Registration:
  • Creates new account if patients are not in the system.
  • Obtains current patient information from established and new patients.
  • Accurately enters/updates patient information in EHR system.
  • Identifies payer source, verifies insurance eligibility, financial status and assigns correct pay type.
Pre-Visit:
  • Accurately pre-screens medical/dental records.
  • Verifies insurance eligibility and obtains authorizations for dates of service.
  • Reviews EHR System for needed updated insurances, demographics and forms and updates EHR as appropriate.
  • Assures patient reminders are completed daily.
Scheduling:
  • Identifies patients by date of birth and name in computer system.
  • Schedules and re-schedules appointments as needed.
  • Calls No Show appointments to reschedule and makes appropriate notations in EHR.
  • Performs prescreening process for add-on appointments.
  • Routinely demonstrates superior customer service skills:
    • Answers telephone in a timely and polite manner, preferably within three rings.
    • Communicates with customers in a courteous, professional, cooperative, and mature manner.
    • Accurately takes messages and conveys information to recipient.
    • Transfers call to Triage RN when medically indicated.
Patient Visit:
  • Notes patient arrival in Electronic Health Record.
  • Checks patient into EHR timely and accurately.
  • Completes vital signs and reports abnormal findings to Provider & Escorts Patient to Provider
  • Accurately documenting patient’s health history and medication reconciliation
  • Accurately completes patient information on lab orders & referrals.
  • Ensures any missing information is complete and accurately entered in EHR.
  • Assists patients with completion of paperwork when necessary.
  • Reviews EHR workflow order overview at completion of visit and follows up as appropriate.
  • Checks out patient at the end of visit
Cashier:
  • Demonstrates the ability to collect office charges, post charges to patient accounts and accurately manage cash drawer.
  • Accurately enters procedure codes with correct diagnosis.
  • Accurately reconciles charges for the day.
  • Accurately prepares daily deposits.
  • Correctly prepares batch reports/encounters for the Finance Department.
Document Management:
  • Ensures documents are entered into the Electronic Health Record per protocol.
  • Categorizes, dates, and labels loose medical documents.
  • Accurately imports loose medical and registration documents into patient’s EHR.
  • Completes tasks related to document management in EHR as assigned.
  • Troubleshoots documents in the clinical inbox as assigned.
Billing:
  • Reviews workflow dashboard daily.
  • Supports billing tasks as assigned.
  • Completes billing tasks accurately and efficient
Patient Support & Other:
  • Supports clinical staff and patients in referral process.
  • Completes Daily/Day end activities assigned.
  • Completes all required training and attends meetings as assigned.
  • Protects/observes patient confidentiality per policies and procedures.
  • Translates, as needed, if employee is bilingual
  • Recognizes and responds appropriately to violent/abusive situations, bomb threats, fire, and emergency situations.
  • Provides referrals to appropriate community resources, facilitates access and communication when multiple services are involved, monitors activities to ensure that services are being delivered to meet the needs of the client, and coordinates services to avoid duplication.
  • Provides emergency/crisis intervention services by referring client to external programs as needed/appropriate.
  • Keeps records documenting services provided by contracted behavioral health providers and submits data to CPH Contract Manager for payment.
  • Provides services to help enroll or re-enroll patients referred to the Hospital Diversion Program when needed.
  • Works with area emergency room and in-patient case managers and clinical staff to facilitate hospital diversion of uninsured patients who use the emergency room for non-emergent.
  • Works collaboratively with CPH staff to assure accurate, comprehensive data bases through quality assurance activities.
  • Maintains inter and intradepartmental workflow by fostering a spirit of cooperation.
  • Coordinates the resources necessary to accomplish the patient’s goals in the case management plan.
  • Works as special projects coordinator within the Behavioral Health program.
Minimum Qualifications:
  • High School Graduate or GED
  • Must be a Certified Medical Assistant
  • Medical and or Behavioral Experience
  • Ability to effectively interact with physicians, patients, and other staff.
  • Demonstrated knowledge of proper, safe, and efficient use of current office equipment/software.
  • Demonstrated knowledge/ability to use Office 365 programs, including Outlook and Word.
  • Effective use of Electronic Health Records.
Preferred Qualifications:
  • Bilingual candidates preferred.
  • Translation for patient/provider (as necessary) if bilingual.
  • Medical/Dental office experience preferred.
  • Basic knowledge of medical/dental terminology preferred.
Physical Demands:

While performing the duties of this job, the employee is regularly required to stand; walk, often for prolonged periods; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl; and see, speak, and hear.
