Job summary

Poppy Bank in California seeks an experienced administrative professional to support the Heads of Branch Banking with reporting, scheduling, and project coordination. You will handle calendars, prepare materials, and assist with hiring and dashboards to evaluate branch performance.

This role requires in-office work with minimal supervision, compliance with bank policies, and occasional travel for local meetings.

Qualifications

  • Minimum 5 years branch operations experience in the financial services or banking industry.
  • Solid technology skills, including proficiency with Microsoft Office (Outlook, Word, Excel, SharePoint, Power Point) and banking software applications.
  • Strong organizational and time management skills with proven ability to prioritize and manage workload and to instill a sense of urgency in others as necessary to meet deadlines and goals.

Responsibilities

  • Coordinates special projects as assigned, either by directly performing the work or coordinating with third parties, to ensure the projects are successfully completed on time and within budget
  • Helps organize team meetings, including calendaring and logistics, and assists with the preparation of meeting materials, including slide decks and handouts
  • Assists with the hiring process for branch employees, including screening resumes, scheduling interviews for branch leadership, checking references, and coordinating with HR to complete the offer process
  • Prepares dashboards, KPI analysis, and other reports to aid branch leadership with evaluating branch performance
  • Assists with the preparation of new branches for opening by coordinating staffing, training, and ordering supplies
  • Coordinates the branch employee review process
  • Helps track deliverables, commitments, and deadlines for branch leadership positions
  • Assists with client escalations, including directly working with clients to deescalate issues and coordinating calls/meetings with branch leaders when needed
  • Acting as a resource to assist high profile clients to include relationships with large checking account balances that don’t already have a relationship manager assigned to them
  • Arranges travel plans for branch leaders and employees
  • Prepares other reports and materials for area and branch managers, as requested by the Heads of Branch Banking, that aid in performing their job duties
  • Minimum of 10 hours CRA volunteer hours per year. Volunteer hours are typically scheduled within business hours. This is compensable time and mileage is reimbursed
  • Other duties as assigned

Description

This position supports the Heads of Branch Banking with reporting, logistics, organization, calendaring, administrative, and other duties pertaining to those roles. The individual must be knowledgeable with the bank’s systems, programs, and processes; must possess strong organizational skills; and must be capable of handling multiple assignments and tasks simultaneously. The position may also assist other branch leadership roles, including area and branch managers, as directed by the Heads of Branch Banking. This position requires that the individual work in office, independently, and with minimal supervision.

Ensures compliance within all Bank policies and procedures, as well as all applicable state and federal banking regulations.

The incumbent in the course of performing this position frequently spends time writing, typing, speaking, listening, operating basic business equipment, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, walking, standing, reading documents or instruments, detailed work, problem solving, client contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, multiple concurrent tasks, and frequent interruptions. The incumbent for this position will occasionally lift up to 15 pounds, pull, squat, kneel and reach. The incumbent is in a non-confined office-type setting in which they are free to move about at will. The work environment is typically quiet to a moderate noise level.

Travel: There will be occasional local, out-of-area, and overnight travel.
