Description
Under the direction of the Association Director of Talent Development & Training and in accordance with the core values and behaviors of the YMCA of Greater Charlotte, the Association Manager of Compliance Training is responsible for the administration, accuracy, and audit-readiness of the association's compliance training portfolio, and for driving organization-wide accountability for the completion of required compliance trainings. This includes CPR/BSS certification and card issuance, supervision of BSS instructors, and administration of the Learning Management System (LMS) compliance curricula.
The ideal candidate is highly organized, detail-oriented, and comfortable reconciling records across multiple systems under firm deadlines. This person will ensure that every required certification and compliance course completion is accurately documented and verifiable.

Essential Functions
- Direct the administration and compliance accuracy of the CPR/BSS certification lifecycle, including prework approval, class scheduling, digital card issuance, and certification expiration tracking across Schoox and HSI.
- Supervise BSS instructors, ensuring quality and consistency of in-person training delivery, adherence to HSI standards, and timely resolution of day-of class issues.
- Partner closely with Risk, Aquatics, and program teams to align training needs with course offerings, ensuring compliance curricula reflect current operational and safety requirements.
- Own the compliance training portfolio outside of CPR/BSS — including Cybersecurity, Preventing Sexual Harassment and Discrimination, Child Abuse Prevention, Bloodborne Pathogens, Medication Administration, Medication Intake, and SIDS, along with any additional compliance curricula assigned in the future — auditing content currency and completion on a defined cycle in partnership with subject matter experts.
- Provide Schoox/LMS administrative support for the Emergency Action Plan training — course build, assignment rules, and completion tracking — while content ownership remains with Risk.
- Serve as the primary point of contact for the HSI vendor relationship, including SCORM link currency, API/integration decisions, and system enhancement planning.
- Manage the CPR/BSS certification calendar, including the two-year and annual recertification cycles and Day Camp scheduling ramp-up, ensuring adequate class capacity ahead of peak season.
- Reconcile certification and compliance records across Schoox, HSI, and Praesidium Academy, resolving discrepancies and maintaining an accurate, audit-ready record.
- Evaluate course effectiveness and audit the LMS system build, identifying and implementing process improvements that create a more efficient, better experience for learners and instructors.
- Build and maintain compliance reporting that tracks completion rates across the organization, identifying trends and gaps and partnering with leadership and regional directors to drive compliance rates upward.
- Proactively notify staff and their leaders of upcoming certification and compliance renewals, and partner with regional directors on their compliance needs and reporting.
- Serve as point person for day-of class issues, including cancellations, no-shows, and classroom changes, which may require evening and weekend availability during peak season.
- Manage the compliance training budget and relevant vendor contracts, ensuring cost-effective use of resources.
- Communicate compliance training initiatives, risks, and outcomes to leadership, and present regular reports on program status and effectiveness.

Qualifications
Required Qualifications
- 3–5 years of experience in compliance administration, training coordination, or certification/credentialing management, ideally within a multi-site organization.
- Experience administering a Learning Management System (LMS); experience with Schoox or other LMS with matrixed or enterprise models preferred.
- Familiarity with HSI (Health & Safety Institute) or a comparable certification and card-issuance system.
- Strong understanding of certification and recertification cycles and compliance recordkeeping requirements.
- Demonstrated ability to manage multiple deadline-driven priorities and reconcile records across disconnected systems with a high degree of accuracy.
- Strong analytical and reporting skills, with the ability to build and interpret compliance data to drive improved completion rates.
- Demonstrated process-improvement mindset, with experience identifying and implementing efficiencies in system design or course delivery.
- Excellent written and verbal communication skills, with the ability to work effectively across all levels of the organization.
- Ability and willingness to serve as an evening/weekend point of contact for class-day issues during peak training season.
- High degree of integrity, professionalism, and confidentiality, particularly in handling credentialing and compliance data.
- Bachelor's degree in Human Resources, Education, Business Administration, or a related field, or equivalent work experience.
- Strong commitment to the mission and values of the YMCA.
All YMCA team members are expected to maintain a current and active status for all safety, risk, and programming certifications defined by the YMCA of Greater Charlotte.
Preferred Qualifications
- Experience with Praesidium Academy, Schoox, Articulate 360, or Canva.
- Relevant certification or experience in training or compliance (e.g., CPR Instructor, Certified Professional in Learning and Performance (CPLP), SHRM Certified Professional (SHRM-CP), or similar).
- Interest and willingness to become certified as a facilitator and facilitate Y-USA courses as needed
Working Conditions
- While performing the duties of this job, the team member is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device.
- The team member frequently is required to sit and reach and must be able to move around the work environment.
- The team member must occasionally lift and/or move up to 10 pounds.
- Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
- The noise level in the work environment is usually moderate.
- Regular travel between locations for training materials audits and site support is required.
- Availability for evening and weekend coverage during peak certification and Day Camp season is required.
