Qualifications

Responsibilities

  • Prepare materials for senior advisors, including pre-meeting review packages and agendas.
  • Own post-meeting follow-through; track actions to completion.
  • Draft client-facing summaries for review by senior advisors.
  • Field routine client inquiries and escalate when needed.
  • Co-lead on select client relationships.
  • Manage the client calendar and schedule reviews.
  • Maintain CRM hygiene and update client profiles.
  • Submit service requests to custodians.
  • Bridge between Advisory and Operations teams; support onboarding.
  • Coordinate with Operations on trade-related matters and data integrity.

The Wealth Advisory Associate ensures the client experience runs smoothly across the advisory relationship. You’ll support senior advisors with meeting preparation, planning inputs, and post-meeting follow-through, while serving as a critical bridge between the Advisory and Operations teams. This role keeps the operational rhythm of the client calendar on track and ensures a consistent, high-quality experience for both advisors and clients.

This role is ideal for someone who is highly organized, client-focused, and enjoys being at the center of a firm’s day-to-day advisory workflow in a boutique, high-touch environment.

Key Responsibilities
Client Service & Meeting Support
  • Prepare materials for senior advisors, including pre-meeting review packages, financial plan inputs, account data, and meeting agendas and outlines
  • Own internal and client-facing post-meeting follow-through; document and track action items to completion
  • Draft client-facing summaries for review by senior advisors
  • Field routine client inquiries (e.g., account access, distribution requests, beneficiary updates, basic performance questions) and elevate as needed
  • Serve as co-lead on select client relationships
Planning & Client Calendar Coordination
  • Manage the operational rhythm of the client calendar and schedule reviews
  • Maintain overall CRM hygiene, including logging interactions, updating client profiles, and tagging follow-ups
  • Submit service requests to custodians
Advisory & Operations Coordination
  • Serve as a critical bridge and liaison between the Advisory and Operations teams
  • Work directly with the Operations Analyst on account administration (e.g., new account openings, asset transfers, beneficiary changes, re-registrations)
  • Support the onboarding process for new clients by coordinating the handoff between the Advisory and Operations teams
  • Coordinate with Operations on trade-related matters that touch the client experience
  • Partner with Operations to ensure data integrity
Firm Support
  • Assist the COO and Operations team during peak operational periods, such as quarterly reporting cycles, year-end tax document distribution, and annual compliance reviews

Qualifications
  • 3-6 years of client service, advisory support, or operations experience in a financial advisory or wealth management setting
  • Exceptional attention to detail and organizational skills
  • Strong written and verbal communication
  • High integrity, discretion, and a client-first mindset
  • Proficiency with Microsoft Office
  • Experience with custodial platforms (e.g., Schwab Advisor Center)
  • Familiarity with CRM or reporting tools (e.g., Wealthbox, Addepar)
  • Bachelor’s degree in business, finance, or related field; CFP, CFA, or advanced degree preferred
  • Comfort with in-office setting (4 days in office, 1 day remote)
  • Base Salary Range: $100k-$125k (commensurate with experience)
