About The Position

The Facilities Associate, Logistics supports the successful execution of events by preparing venues and coordinating essential logistics. This hands-on, entry-level role involves assisting with event setups and teardowns, escorting vendors, moving furniture and equipment, and maintaining venue cleanliness and organization. The position requires a high degree of flexibility, as schedules often shift to accommodate event needs, including early mornings, late evenings, and weekends.

This role offers foundational experience in event operations and facilities support. It involves working closely with and taking direction from the Manager of Logistics as well as collaborating with representatives from various departments hosting or coordinating events. Strong reliability, attention to detail, and effective teamwork are essential to success in this position.

Essential Duties and Responsibilities
  • Escort and assist vendors, suppliers, and contractors during event load-ins and load-outs to designated venue locations.
  • Set up and tear down furniture, equipment, and event materials according to event diagrams and written instructions.
  • Ensure all setups meet established safety, aesthetic, and organizational standards while protecting facility assets.
  • Maintain cleanliness and organization of event spaces before, during, and after events, including waste removal.
  • Support inventory tracking and management of event-related supplies and equipment.
  • Respond to maintenance and event support requests submitted through the centralized maintenance management system.
  • Log completed tasks and responsibilities through assigned work orders in the maintenance system.
  • Assist with cross-functional facilities tasks as needed, supporting broader department operations.
  • Perform other duties and responsibilities as assigned to support evolving organizational needs.

Physical Demands: In the work environment described, this role requires a high level of physical activity and sustained use of a computer and telephone for prolonged periods of time. The position requires effective verbal and written communication with others, good eye/hand coordination, and the ability to lift and transport up to 75 pounds. Vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception, and the ability to adjust focus. This role regularly involves standing, walking, using hands and fingers to handle or operate tools, controls, and equipment, reaching with hands and arms, climbing or balancing, stooping, kneeling, crouching, crawling, and communicating clearly with others. The position requires operation of standard maintenance equipment such as hand tools, power tools, ladders, forklifts, and aerial lifts (e.g., scissor or boom lifts). Duties may involve navigating tight or elevated spaces and occasionally working at heights. The ability to respond promptly and physically to urgent situations is essential.

Work Environment: Work is performed in both indoor office settings and outdoor environments, including exposure to varying weather conditions. The noise level is low to moderate, however, operating certain equipment may result in higher noise levels. Occasional exposure to fumes or airborne particles and toxic or caustic chemicals. The employee is required to wear appropriate personal protective equipment (PPE) in accordance with safety protocols. This position may involve working in environments with temperature fluctuations depending on the season or building system conditions. The incumbent must meet a flexible work schedule, which may include evenings and weekends, and be available on-call for emergencies to support operational needs.
