Job summary

The Milken Institute is seeking an Associate to support its Business and Program Development team in the Santa Monica or New York City office. This role focuses on data management, Salesforce operations, and contract support to advance donations and sponsorships.

The ideal candidate will be highly organized with 1–2 years of data entry experience, strong attention to detail, and excellent communication skills.

Qualifications

Responsibilities

  • Add, update, and maintain account data in Salesforce accurately and on schedule.
  • Perform regular quality control checks to validate system data integrity.
  • Maintain Salesforce reports, making updates as needed to ensure data accuracy.
  • Draft and support the creation of business letters and contracts for donor and sponsor-facing materials.
  • Support day-to-day system operations and ad hoc data management requests within the department.
  • Collaborate across departments to ensure timely execution of milestones and deliverables.
  • Maintain and update internal process documentation as workflows evolve.
  • Duties as assigned.

About The Position

The Milken Institute is seeking an Associate to support its Business and Program Development team in the Santa Monica or New York City office. The right candidate will be a highly organized, analytical professional who thrives at the intersection of data management and operations execution. The candidate will report to the Associate Director, Business and Program Development, and provide data entry support for the Development department, primarily in Salesforce and other systems. They will also conduct regular quality control of data and assist in creating contracts, acknowledgement letters, and other documents. This position will work closely with colleagues across Business and Program Development, Events, Finance, and IT.

Responsibilities
  • Add, update, and maintain account data in Salesforce accurately and on schedule

Qualifications
  • Bachelor’s degree preferred
  • Minimum of one to two years of relevant data entry experience
  • A proactive, highly organized, detail oriented and enthusiastic individual
  • Ability to validate and organize data in an accurate manner
  • Motivated self-starter and hard worker displaying high productivity and follow-through in all areas of responsibility
  • Team-oriented individual who seeks out tasks when work is completed and assists colleagues to ensure goals, requirements, and deadlines are achieved
  • Effective oral and written communication skills
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, etc.) and the ability to learn new software tools
  • Experience working with Salesforce is a plus
  • An attitude of "no job is too small" and attention to detail that ensures rewarding experiences and outcomes for supporters and other stakeholders
  • Desire and ability to support relationships with senior-level decision-makers

  • Comfortable using and actively experimenting with AI tools (e.g., Claude, Copilot, Agentforce) to support data entry, quality control, and document drafting — with an eagerness to keep learning and applying new implementations to improve efficiency and accuracy
Working Conditions & Travel Requirements

This position will work in a professional office environment on a hybrid schedule consisting of three (3) days per week reporting in-person to your respective office location (Tuesday – Thursday), with the remaining two (2) days working remotely. Please understand, this schedule is subject to change at the Institute’s sole discretion. This person will also be required to travel occasionally to other offices and/or venues to assist with events as needed, requiring occasional work outside of traditional hours. Additionally, this position requires interacting virtually on a regular basis with Milken Institute staff based in other locations in the United States and around the world.
