Job summary

Westlake Consultants Inc. is seeking an Associate Controller to manage daily accounting operations for our civil engineering and surveying firm.

You will support the CFO and leadership by ensuring accurate financial reporting, maintaining project accounting integrity, and improving financial processes. You will oversee day-to-day activities such as AP, payroll, billing, and reconciliations, contribute to month/year-end closes, and help optimize internal controls.

Qualifications

  • A bachelor’s degree in accounting, finance, or related field required.
  • 3–6 years of accounting experience in a professional services or project-based environment preferred.
  • CPA or CMA certification preferred but not required.

Responsibilities

  • Assist in managing day-to-day accounting operations, including AP, payroll, Prevailing Wage, billing, and bank reconciliations.
  • Support month end and year end close processes to ensure timely, accurate reporting.
  • Assist in maintaining the general ledger and ensure accurate, organized financial records.
  • Assist CFO in overseeing finance team to monitor budgets, cash flow, and profit.
  • Assist CFO to oversee and support the billing staff, working with Project Managers on project setup, contracting, and client communication.
  • Assist the Chief Financial Officer in managing all journal entries.

Position Overview

The Associate Controller plays a key role in managing the daily accounting operations of our growing civil engineering and surveying firm. This position supports the Chief Financial Officer and leadership team by ensuring accurate financial reporting, maintaining project accounting integrity, and improving financial processes.



Key Responsibilities


  • Assist in managing day-to-day accounting operations, including AP, payroll, Prevailing Wage, billing, and bank reconciliations.

  • Support month end and year end close processes to ensure timely, accurate reporting.

  • Assist in maintaining the general ledger and ensure accurate, organized financial records.

  • Assist Chief Financial Officer in oversight of finance team to monitor budgets, cash flow, and profit.

  • Assist Chief Financial Officer to oversee and support the billing staff. Work with Project Managers to ensure the billing process is followed, including project setup, contracting, and client communication.

  • Assist the Chief Financial Officer in managing all journal entries.



Internal Controls and Compliance


  • Maintain and strengthen internal controls suitable for a small business environment.

  • Ensure compliance with state/local regulations, including payroll tax, business licensing, and consultant contracts.

  • Assist CFO in evaluating and assisting with risk management.

  • Manage out-of-state work requirements; oversee professional and technical registration compliance.



Financial Planning and Operational Support


  • Support vendor management and assist with contract review from a financial perspective.

  • Partner with Human Resources and Chief Financial Officer in reviewing and processing the renewal of all business insurance policies and employee benefits, as well as implementing new policies and procedures for the company.

  • Assist Chief Financial Officer in fleet management, asset management, and maintenance contracts.



Process Improvement and Systems


  • Identify opportunities to streamline accounting workflows for a small but growing team.

  • Help transition or optimize the firm’s accounting processes.

  • Train as backup to all positions in Administration Department when needed.

Job Type


  • Full-time, at main office located in Tigard, Oregon

  • Occasional extended hours during monthly close, audits, or major deadlines.

  • Opportunity to grow into a Controller-level role.



Qualifications


  • A bachelor’s degree in accounting, finance, or related field required.

  • 3-6 years of accounting experience, experience in architecture, engineering, or construction, or other project-based services strongly preferred.

  • Experience in small professional service environments a plus.

  • CPA or CMA certification preferred but not required.

  • Strong understanding of GAAP and project accounting principles.

  • Proficiency with Excel and accounting systems.

  • Experience with Deltek Vantage Point a plus. Ability to quickly learn specific software programs.

  • Experience with payroll and certified payroll/prevailing wage reporting.

  • Strong attention to detail and accuracy

  • Ability to manage multiple tasks in a fast-moving, small-team environment.

  • Proven experience in financial management, operations optimization, and process improvement

  • Excellent leadership and communication skills, with the ability to motivate and guide cross‑functional teams.

  • Skilled at problem solving and decision-making skills; proactive and resourceful.
