Job summary

Harbor Group Management is seeking an Assistant Property Manager for a multifamily community in Colorado. The role supports the Property Manager in tracking financials, leasing activities, and day-to-day operations to ensure resident satisfaction and strong property performance.

The position requires multitasking, strong communication, and experience with property management software. On-site duties, cross-functional coordination, and a customer-service mindset are essential.

Qualifications

  • Minimum two years of experience in multifamily property management.
  • Strong understanding of lease agreements, rent collection, and enforcement procedures.
  • Proficient with Microsoft Office and property management software.
  • Experience with G/L postings and security deposit accounting (SODA).
  • Excellent organizational and communication skills; able to work independently or in a team.

  • Prepare daily bank deposits and reconcile bank accounts.
  • Process accounts payable and vendor invoices with proper coding.
  • Assist with month-end close and general ledger postings.

  • Use property management software for entry, record keeping, and reporting.
  • Act as on-site supervisor in the absence of the Property Manager.

Assistant Property Manager, Multifamily (Finance)

Job Title: Assistant Property Manager

Division: Multifamily

Status: Non- Exempt

JOB SUMMARY: The Assistant Property Manager supports the Property Manager in overseeing the day-to-day financial, operational, and administrative functions of a multi-family residential community. This role plays a key role in resident relations, rent collection, leasing support, financial reporting, and property operations to ensure the overall success and smooth running of the property.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Collect and post rent, fees, and other payments; manage delinquencies and implement collection procedures.
  • Prepare daily bank deposits, reconcile bank accounts, and complete financial reporting tasks.
  • Process accounts payable and vendor invoices; ensure proper coding, approvals, and reconciliation.
  • Assist with month-end close-out procedures, general ledger postings, and security deposit accounting.
  • Assist in leasing efforts including showing units, processing applications, and executing lease agreements.
  • Support lease renewal programs and educate new and prospective residents on community policies.
  • Shop competitive properties regularly to maintain market awareness.
  • Respond promptly and professionally to resident complaints, service requests, and inquiries.
  • Promote resident satisfaction and retention through excellent customer service and proactive communication.
  • Circulate community notices and correspondence on a weekly, monthly, or as-needed basis.
  • Use property management software (e.g., Yardi, OneSite, or MRI) for transaction entry, record keeping, and reporting.
  • Ensure compliance with company policies, lease agreements, legal requirements, and fair housing laws.
  • Assist with resident move-ins and move-outs, including lease term reviews, fee application, and disposition processing.
  • Coordinate with the maintenance team to ensure timely unit turns and service requests.
  • Act as on -site supervisor in the absence of the Property Manager.
  • Assist in training and supervising property staff, delegating tasks as appropriate.
  • Maintain open communication with ownership/management and provide community performance updates as needed.
QUALIFICATIONS
  • High School Diploma or equivalent.
  • Minimum of two years of experience in multifamily property management.
  • Strong understanding of lease agreements, rent collection, and lease enforcement procedures.
  • Proficient with Microsoft Office and Property Management software experience is a must.
  • Comfortable with G/L postings, SODA (Security Deposit Accounting), and financial reconciliations.
  • Proficiency in social media platforms (e.g., Facebook, Instagram, LinkedIn, etc.) is preferred.
  • Excellent organizational and communication skills with the ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Strong attention to detail, problem-solving skills, and the ability to work independently or as part of a team.
  • Must be customer-service oriented with the ability to interact professionally with residents and vendors.
  • Valid driver's license required (for operating golf carts if applicable).
