Job summary

Eurofins Environment Testing (USA) is seeking a Project Management Assistant I to support the Project Management team in servicing clients and ensuring timely, accurate deliverables. The role emphasizes data handling, reporting, and collaboration across departments.

The ideal candidate will have strong English communication skills, basic computer proficiency, and a commitment to quality and client satisfaction in a fast-paced testing environment.

Qualifications

• High School Diploma or equivalent.
• Customer service experience required.
• Ability to read, write, and speak English proficiently.
• Authorization to work in United States without restriction or sponsorship.

Responsibilities

• Project setup: create bottle orders and schedule couriers or field samplers.
• Verify subcontract labs are on approved vendor list and set up for work.
• Generate requisitions in accounting software for subcontract samples.
• Process sample receipts and generate subcontract paperwork.
• Communicate client sample receipt confirmations and invoicing details.
• Prepare final reports and data packages by client due date.
• Assist with state reporting forms and data uploads.
• Review final invoices and issue credit/debit memos as needed.
• Support ongoing duties; role is M-F 8:30 to 5:00 with training hours.

Position Summary

The Project Management Assistant I supports the Project Management staff in servicing clients to meet the Client Service Organization mission.

Essential Duties and Responsibilities

• Project set-up
  • Creates bottle orders
  • Schedules courier or field sampler, if needed
  • Confirms non-Eurofins Environment Testing America subcontract labs are on the approved list and set up as vendors for existing work
  • Generates accounting software requisition when sending subcontract samples
• Sample Receipt
  • Reviews log-in
  • Generates subcontract paperwork
  • Sends client sample receipt confirmation
  • Reviews draft invoice
  • Confirms that any client needed information (purchase order, project number, etc.) is recorded in LIMS for invoicing
• Reporting
  • Creates and issues final report by client due date
  • Issues final data package
  • State reporting forms and submission
  • Data uploadli>
  • Compiles case narrative
• Invoicing
  • Reviews final invoice before issuing to client
  • Generates credit/debit memos as needed
  • Submits credit/debit memos for approval
  • Submits approved credit/debit memos to client, if needed
  • Submits revised invoices

Additional duties as required

Role is M-F, 8:30m-5:00pm. Training will be the same hours.

Qualifications

Basic Minimum Qualifications

• High School Diploma or equivalent
• Customer service experience
• Experience working with computers
• Professional working proficiency in English is a requirement, including the ability to read, write and speak in English.
• Authorization to work in the United States without restriction or Sponsorship

Ideal Candidates will have

• Associate degree in related field (4 years of client service experience may substitute for degree)
• Extensive customer service experience
• Computer experience and experience with a variety of software, as well as introductory classes in computer software
  • Proficiency in Microsoft Office, Excel, Outlook, etc.
• Science or industry lab experience
• Knowledge of environmental regulations
• Strong interpersonal skills

Additional Information

Pay rate: $20-22/hour

Please note - Eurofins Environment Testing (USA) provides a compensation range for informational purposes, the actual base salary may vary based upon, but not limited to, relevant experience and skill set, base salary of internal peers, business sector, and geographic location.
