Job summary

Cox Media Group on Long Island is seeking an proactive Office Manager – Assistant to keep our fast-paced broadcast office organized, supported, and welcoming. You will assist leadership, Sales, and other departments, handling multiple priorities with confidentiality and professionalism.

This on-site role provides administrative, operational, and front-office support, including scheduling, travel coordination, supplies, reception, and cross-functional project assistance to keep the team efficient

Responsibilities

  • Provide administrative support to local leadership, including scheduling, travel planning, expenses, correspondence, reporting, and presentation prep.
  • Manage day-to-day office operations: supplies, vendor coordination, shipping, mail, and general organization.
  • Oversee front-office functions: greeting visitors, calls, coverage, and maintaining a welcoming environment.
  • Support Sales and other departments with meetings, materials, reporting, and internal communications.
  • Coordinate staff meetings and team-building events, including logistics and facilities.
  • Coordinate on-air public affairs scheduling, tracking, and documentation.
  • Maintain FCC online public files and related compliance documentation.
  • Communicate company policies and initiatives consistently and accurately.
  • Respond to staff questions and direct employees to appropriate resources.
  • Process electronic I-9 documentation for new hires.
  • Assist on additional projects and other duties as assigned.

Position Overview

Long Island Radio at CMG is seeking a proactive, detail-oriented Office Manager - Assistant who will play an important role in keeping our fast-paced broadcast team organized, supported, and running smoothly. This is a great opportunity for someone who enjoys being at the center of daily office activity, supporting a variety of teams, and helping create a professional, welcoming workplace. The ideal candidate is highly organized, service-focused, and comfortable supporting leadership, Sales, and other departments as needed.

This role provides administrative, operational, and front-office support, including office coordination, reception functions, departmental support, public affairs coordination, and compliance-related administrative tasks. The successful candidate will be dependable, collaborative, and able to manage multiple priorities with sound judgment and confidentiality.

This position is considered on-site essential.

Essential Duties and Responsibilities
  • Provide administrative support to local leadership, including scheduling, travel coordination, expense submission, correspondence, reporting, and presentation preparation
  • Manage day-to-day office operations, including supplies, vendor coordination, shipping, mail, postage, and general office organization
  • Manage reception functions, including greeting visitors, answering and directing calls, coordinating front-office coverage, and maintaining a professional, welcoming office environment
  • Provide cross-functional support to Sales and other departments as needed, including meeting preparation, client-related materials, reporting, follow-up items, internal communications, and document preparation
  • Coordinate staff meetings, team-building events, and other office activities, including logistics, food arrangements, facilities coordination, and related communications
  • Coordinate on-air public affairs efforts, including scheduling, tracking, documentation, and related communication needs
  • Maintain FCC online public files and support related compliance documentation
  • Support communication and consistent application of company messages, policies, procedures, and corporate initiatives
  • Respond to staff questions and direct employees to appropriate resources as needed
  • Process electronic I-9 documentation for new hires
  • Support additional projects and other duties as assigned
Minimum Qualifications
  • Highly proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Ability to quickly adapt to new technology solutions and follow established best practices
  • Must be able to maintain the highest level of confidentiality
  • Ability to prioritize work, manage multiple tasks, and work independently
  • Exceptional organizational skills and attention to detail
  • Strong spelling, punctuation, grammar, and proofreading skills
  • Strong communication skills with the ability to interact professionally with employees, clients, visitors, listeners, and senior leaders
Preferred Qualifications
  • Bachelor's degree or equivalent experience preferred
  • Knowledge of the broadcast or media industry is a plus

The wage scale for this position is $22.21 per hour. Final compensation for this role will be determined by a variety of factors such as skills, certifications, and relevant work experience.
