Job summary

Specialty Eye in Kirkland, WA, seeks an Assistant Office Lead to support daily operations, lead the team, and improve office systems. The role involves hands-on leadership, cross-training across roles, and driving scheduling, inventory, and compliance.

Responsibilities

  • Support the Office Lead and Practice Lead in overseeing the day-to-day operations of the office.
  • Help ensure scheduling, recalls, appointment confirmations, inventory, repairs, and other office systems are running effectively.
  • Monitor appointment availability and help keep provider and team schedules organized and filled.
  • Track recalls, walk-ins, missed appointments, and other important scheduling metrics.
  • Monitor inventory levels across optical, clinical, and miscellaneous supplies.
  • Track equipment maintenance, repair requests, and completed repairs.
  • Maintain required office compliance documentation and records.
  • Identify recurring problems and develop or recommend processes and SOPs to prevent them from happening again.
  • Participate in office systems audits and help identify opportunities to improve workflows.
  • Keep SOPs current, organized, and accessible to the team.
  • Communicate with leads and team members across the practice to solve problems and share best practices.
  • Lead daily or weekly team huddles when the Office Lead is unavailable.
  • Communicate office goals, updates, accomplishments, and priorities to the team.
  • Coach, cross-train, and support team members across different office roles.
  • Step in and assist team members when additional support is needed.
  • Delegate responsibilities effectively while helping team members take ownership of their roles.
  • Monitor employee attendance and assist with payroll reporting.
  • Help maintain a clean, organized, professional, and patient-ready office environment.
  • Track and report key operational and performance information, including schedules, inventory, sales goals, equipment status, attendance, and team development.
  • Support new-hire training and ongoing development for technician, PCC, and optical team members.
  • Participate in ongoing leadership and professional development.

Specialty Eye seeks a motivated and organized Assistant Office Lead to join our growing team. The Assistant Office Lead plays an important role in keeping the office running smoothly, supporting team members, improving day-to-day systems, and helping the practice achieve its goals.

This is a hands-on leadership position for someone who enjoys solving problems, helping people succeed, and finding better ways to get things done. You will work closely with the Office Lead and Practice Lead while also stepping in to support the team wherever needed.

WHAT YOU WILL DO

TRAINING & DEVELOPMENT
  • Complete Level 1 training in all applicable areas before promotion into the position and pursue Level 2 training within 10 months of accepting the role.

  • Participate in ongoing leadership development, including Good to Great, Customer Service Is Worthless, Customer Loyalty Is Priceless, Leaders Eat Last, annual optometry management education, and additional online or onsite leadership training.

  • Help train and develop both new and current team members across technician, Patient Care Coordinator, optical, and office responsibilities.
