Job description

Position Summary

Assistant Maintenance Supervisor assists the Maintenance Supervisor with oversight and performs technical and mechanical work that ensures the interior and exterior of buildings, grounds, amenities, and common areas of the communities meet the Company’s standards for cleanliness, appearance, safety, and overall functionality. This position is responsible for maintenance operations at a campus comprised of multiple buildings.

Essential Responsibilities
  • Building Maintenance:
    • Alongside supervisor, troubleshoot and resolve issues involving building operations systems (e.g., plumbing, electrical, HVAC, boiler systems, flooring, windows, etc.) throughout the campus.
    • Respond to on-call policies and procedures.
    • Shovel snow when there is an inch of snow accumulation or more. Holidays/weekends included.
    • Serve as primary point of contact to all property team members for non-escalated maintenance needs during regular business hours.
    • Serve as first point of contact for maintenance technicians who need on-call assistance.
    • Enforce and follow on-call policies and procedures.
    • Occasionally oversee larger repairs and minor capital projects, as assigned by supervisor.
    • Work closely with vendor partners to coordinate any required escorts to occupied units.
    • Assign escort team member based on level of impact their absence will have on properties.
    • Monitor and maintain inventory of property maintenance supplies.
    • Assist with the coordination and timely completion of preventative maintenance programs for each building.
      • Preventative maintenance should take place twice per year, and should include, but are not limited to: smoke detector inspections and battery replacement, filter replacements, leak inspections, pet and/or resident damage notifications, and appliance maintenance (e.g., fridge, stove, dishwasher, washer and dryer, heating elements, etc.).
    • Identify and correct any hazardous property conditions immediately, or contain hazard until it can be removed.
    • Ensure that all safety logs (e.g., pool, snow removal, and emergency phone logs) are completed as required, and any deficiencies are promptly addressed.
    • Actively participate in and assist with coordination of weekly maintenance meetings and safety trainings.
  • Property Inspections:
    • Inspect all properties daily, including interiors and exteriors, in accordance with the Company Hospitality Model.
    • Utilize mobile maintenance platform for inspections/safety walks.
    • Coordinate inspections for all move-ins.
    • Utilize “theory of left” while inspecting final make-ready units.
    • Communicate any areas of opportunity or action items to Maintenance Supervisor prior to new resident move-in.
    • Inspect all maintenance shops, storage closets, and parts inventory on a weekly basis.
      • Ensure these areas are free of clutter and organized in a manner that enables team members to find items, ensuring minimal lost time.

Supervisory Responsibilities

The maintenance department ensures the safety, functionality, cleanliness, and aesthetics of the interiors and exteriors of buildings, grounds, amenities, and common areas. To this end, the Assistant Maintenance Supervisor assists the Maintenance Supervisor. The Assistant Maintenance Supervisor has zero direct reports but does provide training for maintenance team members according to procedural guidelines and checklists created by the supervisor.

  • Lead, coach, and give feedback to all maintenance team members to ensure assigned tasks are carried out in a timely manner.
  • Delegate resident services requests to members of the maintenance team daily, including completion, close-out of service, and management requests, with consideration for an organized team workflow.
  • Frequently check in with maintenance team members to ensure all are set up for success.
    • Provide timely guidance and feedback.
  • Provide direct oversight of the make-ready process, including monitoring of make-ready progress on the make-ready tracker.
  • Stand in for supervisor in their absence.
    • Maintain professional and calm demeanor to support management team with supervisory-related requests.
  • As needed, assist with recruiting and interviewing potential candidates for team member positions.
  • Communicate further education opportunities to team members and encourage participation.
  • Communicate questions, concerns, and guidance needs to supervisor.
  • Report any team member performance-related issues to supervisor in a timely manner.
  • Demonstrate highly effective leadership and supervisory skills at all times.

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and government regulations.

Qualifications & Competencies
  • Strong working knowledge of HVAC, electrical, and plumbing systems; appliance repair; and general carpentry.
  • Must maintain a valid driver’s license.
  • 3 – 5 years leadership experience in multi-family property or hotel environment.
  • Proficient with MS Office Suite (e.g., Outlook, Excel, Word).
  • Understanding of Fair Housing legislation.
  • Ability to assist with supervision and development of large teams.
  • Ability to participate in on-call rotation, as assigned by supervisor.
  • Must be able to provide proof of eligibility to work in the U.S.
  • High School Diploma or equivalent.
  • Strong customer service and relationship skills required. Position requires high level of verbal and written communication (internal and external).
Preferred Qualifications, Knowledge, Skills, And Abilities
  • Previous lead service technician experience.
  • Some experience in related trade school program.
Preferred Certifications And Licenses
  • HVAC, EPA, and CPO certifications.
  • Safety OSHA approved certifications.
Physical Requirements
  • Must have the ability to remain in a seated position – 20%.
  • Speak and hear clearly – 100%.
  • Must have the ability to lift office products and supplies up to 50 lbs. – 80%.
  • Walk, stoop, kneel, bend and reach – 100%.
  • Dexterity to use and manipulate hand and power tools – 50%.
Work Environment

Duties are conducted indoors in environmentally controlled conditions, and outdoors in many weather conditions.

  • May be requested to fill in at other local properties.
Compensation

Wages: This position is paid an hourly rate and is eligible for overtime. Estimated starting hourly wage: $33.50.

  • Exact salary is determined within the stated range by merit, seniority, production rate and/or quality; geographic location; education, training and/or experience related to job duties and responsibilities; or travel required by the position.
  • Potential additional compensation includes monthly, on-call, and annual bonus.
