Description

The Assistant Facilities Manager oversees daily facility operations, including custodial services, maintenance coordination, and overall property upkeep across dispensary and lounge facilities. This role supervises custodial personnel and coordinates maintenance activities, work requests, preventive maintenance, and vendor or contractor services. The position works closely with maintenance personnel and management to prioritize facility needs, address operational issues, and maintain safe, clean, and well-functioning facilities.

By maintaining an audit-ready, high-standard, hospitable environment, this position ensures seamless business operations, guest comfort, and regulatory compliance in a fast-paced retail and lounge setting.

Key Responsibilities:

Leadership & Team Management

Directly supervise Custodians and coordinate work priorities with Maintenance Technicians to ensure facility, safety, and operational standards are met.

Reinforce team expectations regarding facility cleanliness, structural upkeep, and workplace safety across all shifts.

Support the onboarding, scheduling, and task delegation for janitorial and maintenance team members, promoting a culture of accountability and continuous improvement alongside management approval.

Foster a positive, collaborative, and team-oriented work environment across facility operations.

Set clear expectations regarding daily cleaning routines, task tracking, and safety protocols in accordance with NUWU standards.

Operational & Maintenance Management

Implement and maintain workflows for janitorial duties, urgent repair requests, and scheduled preventive maintenance to ensure total operational efficiency.

Schedule, coordinate, and document third-party contractors and specialty equipment technicians for routine maintenance and specialized repairs alongside management approval.

Conduct regular facility walks to proactively identify plumbing, electrical, HVAC, cosmetic, safety, or other facility concerns; document findings and, through the approval of management, coordinate appropriate maintenance or contractor support.

Enforce company safety policies, lead weekly safety/compliance audits, and maintain audit-ready digital and physical service logs.

Assist in preparing indoor and outdoor spaces for special events, managing layout changes, and stepping into hands-on custodial or maintenance roles as needed to keep the site running smoothly.

Facility Quality & Environment

Ensure a consistently clean, safe, and pristine environment for both customers and employees across all retail, lounge, and outdoor areas.

Promptly address urgent facility issues, leaks, hazards, or cleaning emergencies with minimal disruption to the guest experience.

Maintain high standards of facility presentation, ensuring all public and staff areas remain in "grand opening" condition.

Training & Safety Compliance

Ensure all team members are fully trained in proper equipment usage, sanitation guidelines, hazardous material handling, and safety protocols.

Qualifications:

2–4 years of experience in facilities management, custodial supervision, or property maintenance, preferably in retail, hospitality, or cannabis environments.

Proven track record supervising janitorial staff, delegating tasks, and coordinating third-party vendors or maintenance technicians.

Working knowledge of basic building systems (HVAC, plumbing, electrical, lighting), or demonstrated ability and willingness to develop this knowledge through training and hands‑on experience using digital work order management or ticketing systems.

Knowledge of OSHA standards, hazardous material handling (SDS), sanitation guidelines, and local facility safety regulations.

OSHA 10/30, First Aid/CPR, or certified facility management credentials are a strong plus. Willingness to complete employer‑provided facility and safety training is required.

Excellent crisis-handling abilities, clear communication, and an eye for detail to maintain "grand opening" standards.

Physical Requirements:

Stand, walk, bend, stoop, crouch, and move continuously across large indoor/outdoor properties for 8+ hours per shift.

Regularly lift, push, pull, or carry up to 50 lbs unassisted (e.g., trash receptacles, janitorial carts, maintenance supplies, and event furniture).

Strong visual acuity to inspect facilities for small hazards, mechanical issues, or cleanliness gaps.

High-foot-traffic dispensary and consumption lounge setting requiring continuous responsiveness to unexpected messes, repairs, or operational changes.

May require flexible scheduling, including early mornings, late nights, weekends, holidays, and on‑call availability for facility emergencies.

Occasional exposure to outdoor weather conditions, cleaning chemicals, noise from specialized equipment, and cannabis odor or smoke within designated lounge areas.
