Job summary

Maxim Crane Works, LP invites applications for an Assistant Dispatcher role designed to train and expose you to the full scope of branch dispatch duties. You will assist in coordinating labor and equipment, scheduling, and ensuring timely delivery to customers while following company policies.

You may occasionally perform Dispatcher duties as needed. The role emphasizes communication, regulatory compliance, weather-based planning, and daily reporting, with room to grow into lead-dispatch

Qualifications

• High School diploma or GED required; an Associate or Technical degree is preferred.
• Minimum 3+ years in equipment operation, driving, or administrative support.
• Experience in transportation or heavy equipment is preferred.
• Strong written and verbal communication, attention to detail, and ability to work under pressure.

Responsibilities

• Assist Dispatcher with coordinating, scheduling, and assigning labor and equipment.
• Draw bars assigning cranes, trucks, and employees to jobs the day before to create daily activity spread sheet.
• Process new hires, maintain training database and assist in badging.
• Monitor weather activity and adjust procedures per regulations.
• Prepare daily dispatch reports and determine schedules.
• Coordinate with billing to ensure accurate and timely job tickets.
• Ensure DOT and other regulations compliance with the Compliance Specialist.
• Assist in creating maps and direction charts for permit compliance.
• Dispatch labor and equipment and maintain communication with operators and drivers.
• Communicate with local unions to ensure orders are filled and satisfied.
• Verify inspections are filed; escalate discrepancies.
• Perform weekly spot checks on rigging stock and warehouse stock.
• Review ELD compliance for cranes; perform other duties as assigned.

Job description

Purpose

This position is designed so that the Assistant Dispatcher gains training and hands‑on experience across the full range and scope of the duties and responsibilities of the branch Dispatcher, in doing this they follow established company policies and procedures. The Assistant Dispatcher is responsible for assisting the Dispatcher in coordinating, scheduling, assigning labor and equipment, and performing other administrative duties to ensure equipment reaches our customers in a timely manner. They may also on occasion, for short periods, perform the duties of the Dispatcher.

Duties And Responsibilities

• Draw bars assigning cranes, trucks, and employees to all jobs the day before to provide an accurate daily activity spread sheet.
• Process all new hires and assist in maintaining training database and assist in badging.
• Evaluates, processes, and transmits information, instructions, and permits.
• Monitors weather activity and evaluate how to proceed based on weather‑related regulations and policies
• Prepares daily dispatch reports and determine schedules.
• Coordinate with billing to ensure rates and job tickets are submitted accurately and timely.
• Works with the Compliance Specialist to ensure Maxim operates in accordance with DOT and other regulations.
• Assists in the creation of appropriate maps and direction charts to assure compliance with applicable permit laws
• Assists in the dispatch of labor and equipment, also maintains communication with operators and drivers.
• Communicates with local unions timely to ensure customer orders are filled and satisfied.
• Checks that inspections have been completed and are correctly filed; refers any discrepancies and service issues to service.
• Performs weekly spot checks on rigging stock for cranes and warehouse stock.
• Checks to ensure all items needed in the JDS are ready for the operator to perform the job.
• Reviews ELD compliance for cranes assigned to that branch
• Performs other duties as assigned or required.

Minimum Requirements

Education:

• High School diploma or GED
• Associate or Technical degree preferred

Experience:

• 3+ years' prior experience as an equipment operator, driver, or in an administrative support role.
• Prior transportation and/or heavy equipment experience is preferred

Skills and Knowledge:

• Moderate level communication skills, must be able to read and comprehend simple instructions, short correspondence and memos and the ability to write simple correspondence. Also must be able to effectively present information in one‑on‑one and in small group situations to other employees
• Advanced level attention to detail
• Moderate level PC skills, including proficiency in MS applications, especially Word, Excel, and Powerpoint.
• Advanced ability to problem resolve and make sound decisions during high pressure situations
• Expert multitasker with ability to meet deadlines

Additional Requirements

• Will be required to step in for Lead Dispatcher as requested, directed or assigned

Language Skills:
