Job summary

Job Summary

The Assistant Director serves as an integral part of the Stevens Doctoral Program, one of the oldest and most respected business PhD programs in the world, and Pathways to Research and Doctoral Careers (PREDOC), a consortium of universities and research institutions that aims to remove barriers to access to research and doctoral careers. This position focuses on recruiting, admissions, and marketing for the doctoral program, as well as communications including website, program assets, and social media, student events and services, operations and accounting, and data management across both units.

Responsibilities
  • Develops innovative recruiting strategies that increase awareness of the Stevens Doctoral Program at Chicago Booth to attract applicants and yield admitted students.
  • Conducts PhD recruitment and yield activities. Duties include facilitating online recruitment events and executing a bi-annual campus program that brings together undergraduates from across the country to explore graduate research at a business school.
  • Supports the Stevens Doctoral Program admissions lifecycle by ensuring timely delivery of admissions-related applications, instructions, and events to prospective applicants.
  • Executes communication strategies for prospective applicants throughout the admissions process, offering information about the Doctoral Program by email, online, and in person.
  • Assists with event planning and logistics for Doctoral Program events (student orientation, admission visit, graduation, professional development, alumni events, student-initiated programming, and social events), including space reservations, catering needs, coordination with audio visual and facilities teams, and management of attendee needs.
  • Manages accommodation for PhD students with disabilities, including working with Student Disability Services, Equal Opportunity Programs, Audio Visual Services, and Booth partners at domestic and international campuses as needed. Assists non-PhD students with accommodation needs for PhD-level courses at Chicago Booth.
  • Organizes materials for Accounting and URA for grant applications and assists with preparation of donor materials. Manages donor communications for endowed PhD fellowships and other gifts, working with students and Advancement to ensure timely completion of annual reports and thank you notes.
  • Contributes to quantitative social science research pathway programming at PREDOC, focusing on logistics for outreach and travel as well as the development of online resources and networking events. Manages planning, logistics, and communications for Expanding Discovery in Economics+ (EDE+), and for the annual PREDOC Student Research Conference.
  • Updates and maintains applicants, students, staff, and alumni data for databases, systems, reviews and reports for the Stevens Doctoral Program and PREDOC. Includes tracking outcomes and career trajectory of program alumni and reporting on participant engagement across events and services.
  • Oversees internal and external websites for the Stevens Doctoral Program and PREDOC, including creating and updating content within existing frameworks. Broadens engagement with internal and external audiences.
  • Directs communications, including creating and distributing content for emails, listservs, presentations and events, and social media, for both units. Expands social media presence.
  • Organizes expenses including managing ledgers, processing reimbursements and stipends, reconciling GEMS and completing Oracle requisitions.
  • Accesses confidential information in central and local systems.
  • Solves problems in areas such as academic and administrative policy, student admissions, curriculum research and development, and budget development.
  • Recommends process improvements for programs that relate to critical student-life improvement, including emergency management, accommodations for students with disabilities, and/or the administration of health care services and programs for students.
  • Performs other related work as needed.
