Purpose and Job Description

Under the general supervision of the Coordinating Manager, Ambulatory Care & Deputy Director, Ambulatory Care, with latitude for independent judgment and initiative, the Assistant Coordinating Manager is responsible for the daily processing of patients into clinical services via Epic and other tasks as required.

Specific Duties and Responsibilities
  • Rotates to various services in Ambulatory Care and Radiology
  • Assists in improving Press Ganey scores by treating all patients courteously and respectfully, with regard to confidentiality.
  • Verifies insurance via EPIC, Omnipro, EPACES, insurance portals, telephone, or fax.
  • Provides patients with appointments in Epic for all clinics as needed.
  • Educates patients on insurance, HHC options, and Managed Care policies of Coney Island Hospital.
  • Refers ineligible patients to financial counselors.
  • Obtains and coordinates patient prior authorization for outpatient services.
  • Processes visits for clinic sessions in Epic, including opening and closing visits where needed.
  • Determines and opens/registers/schedules appointments, maintaining confidentiality as required.
  • Uses language line when necessary.
  • Directs patients to other hospital services as needed.
  • Performs comprehensive registration, including demographic, financial, insurance info, and obtaining patient consents, updating records in EPIC.
  • Scans referral documents into Epic.
  • Attends education sessions and supports personnel proficiency.
  • Maintains proficiency in manual registration and scheduling systems for IT downtime.
  • Pre-Registers for the following day.
  • Completes End of Day EPIC tasks.
  • Manages referral work queues.
  • Supports Physician template management.
  • Assists with taking messages for Physicians.
  • Handles calls courteously and properly, referring as needed.
  • Collects payments as necessary.
  • Performs other duties as required.
Minimum Qualifications
  • Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology, or related discipline with one year of full-time supervisory or administrative experience in healthcare or business management systems; or
  • A satisfactory combination of education, training, and experience.
Department Preferences
  • Proficiency in Epic Cadence, Omnipro, EPACES, insurance portals, and Q-med functions.
  • Exceptional customer service skills.
  • Good organizational and time management skills.
