Job summary

IES seeks a detail‑oriented Asset Support Administrator to manage administrative tasks and engage in hands‑on handling of equipment and tools at our headquarters and tool crib warehouse. The role combines proactive admin management with active participation in asset tracking and project support.

Responsibilities include data collection, reporting with Excel, vendor coordination, and maintaining accurate asset records while moving between office and field settings.

Qualifications

  • High school diploma or GED required.
  • Experience interfacing with customers is preferred.
  • 1–2 years in a related field.
  • Proficiency with Microsoft Office (Word, Excel, MS Project).
  • Ability to operate standard office equipment.

Responsibilities

  • Perform administrative tasks: word processing, filing, records management, correspondence.
  • Independently manage workload and provide operational support.
  • Serve as primary contact for internal and external stakeholders.
  • Handle confidential information with discretion and strong problem solving.
  • Coordinate calendars, meetings, and asset shipments accurately.
  • Process service inquiries to keep operations running smoothly.
  • Prepare reports using advanced Excel for analysis and presentation.
  • Maintain records/databases for licenses, warranties, inventory, and service agreements.
  • Process vendor requests and update vendor lists per procurement procedures.
  • Assist data collection and reconciliation for Asset Support Team.
  • Manage asset databases and ensure data integrity.
  • Handle shipping/receiving of equipment, tools, and materials daily.
  • Perform physical tasks: lift up to 50 lbs, climb ladders, move through office and tool crib.
  • Work between office and tool crib with carts for equipment movement.
  • Collaborate with team and other departments to ensure timely tasks.
  • Perform other duties to support department objectives.

Job Summary

The primary function of the position manages administrative tasks related to asset management while also engaging in physical activities within our headquarters office and tool crib warehouse space. This dynamic position requires proactive administrative management and hands‑on involvement in handling equipment and tools, ensuring seamless asset management processes, and supporting construction project execution.

Job Duties And Responsibilities
  • Perform various administrative tasks, including word processing, filing, records management, and correspondence processing.
  • Independently manage workload for efficient task completion and operational support.
  • Serve as the primary point of contact for internal and external stakeholders, maintaining professional and efficient communication channels.
  • Exercise discretion with confidential information and demonstrate strong problem‑solving skills independently.
  • Coordinate calendars, meetings, and asset shipments with accuracy and timeliness.
  • Facilitate communication and promptly resolve service inquiries for seamless operations.
  • Prepare and maintain reports to support departmental operations, utilizing advanced Excel skills for analysis and presentation.
  • Maintain accurate records and databases pertaining to licenses, warranties, inventory, and service agreements for organizational assets and testing equipment.
  • Process vendor requests and update vendor lists, ensuring compliance with procurement procedures.
  • Assist in data collection and reconciliation for the Asset Support Team, contributing to efficient decision‑making processes.
  • Manage all asset databases and ensure their accuracy and integrity to support asset tracking and management.
  • Handle shipping and receiving activities on a daily basis, including equipment, tools, and materials, while adhering to safety protocols.
  • Engage in physical tasks such as consistently lifting and carrying tools and equipment of various sizes and weights throughout the day, often in messy and dirty conditions encountered in the construction field.
  • Work seamlessly between office and tool crib environments, utilizing carts to move equipment and tools efficiently.
  • Conduct inventory management in tool crib settings and occasionally at remote locations such as warehouses and job sites.
  • Collaborate with team members and other departments to ensure smooth operations and timely completion of tasks.
  • Perform other duties as assigned to support the overall objectives of the department and organization

  • Must also display self‑sufficiency in taking thorough and accurate notes during training sessions and discussions on lessons learned, ensuring comprehensive understanding and reference for future tasks.
  • Must quickly learn and adapt to company and customer project management systems, utilize technological tools for workflow efficiency, and commit to using notes and resources to mitigate knowledge retention challenges and maintain performance.
  • Must be capable of standing and walking for extended periods, stooping, and performing full‑body motions as necessary to complete tasks. Additionally, must be able to safely lift objects weighing up to 50 lbs. and proficiently use step ladders when required for job duties. These physical tasks may be necessary in certain processes.
  • Must prioritize accountability, learn from mistakes, and seek improvement to minimize errors and ensure accurate completion of tasks.
  • Regular attendance is mandatory to ensure consistent support for team operations and project success.

Qualifications
Education, Certification, License, and Skill Requirements
  • Must possess at least a High School diploma or GED equivalency.
  • Must have some experience in customer interface, such as liaison between the customer and the Company.
  • Must possess a minimum of 1-2 year(s) working experience in a related field.
  • Must be proficient with Microsoft Office (Word, Excel and MS Project).
  • Must be able to effectively operate office equipment and computing devices commonly used in the industry.
  • Must meet Company minimum driving standards.
  • Must be able to manage multiple tasks/projects simultaneously.
