Schedule: Part Time
Shift: Sun: OFF, Mon-Thu 9a-4p, F OFF, Sat 9a-3p (Must be able to train onsite)
Principal Duties and Job Responsibilities:
- Collaborate with oncology physician offices, infusion centers, or directly with patients to schedule appointments, negotiating date and time, and avoiding resource conflicts.
- Work closely with the Infusion Center leader or charge nurse to maximize utilization of nursing time, productivity, and resources.
- Assess patient acuity based on diagnosis and visit reason; calculate treatment time accordingly.
- Ensure patients starting chemotherapy are scheduled for education prior to their first appointment.
- Schedule labs prior to treatment to prevent delays.
- Understand physician orders and schedule multiple recurring appointments within authorization and payer guidelines.
- Coordinate appointments with Radiation Oncology for patients receiving both chemotherapy and radiation.
- Verify faxed orders from physicians are complete and accurate; communicate missing information.
- Verify physician privileges for outpatient admissions.
- Verify patient identity to minimize medical record duplication.
- Send treatment requests via email for authorization processing.
- Input patient information into tracking documents for real-time updates.
- Access orders via EMR and Outlook.
- Schedule, reschedule, or cancel patients using the EMR Scheduling Book.
- Provide coverage at infusion centers as needed.
- Seek opportunities to improve processes.
- Maintain relationships with clinical partners to ensure smooth communication and enhance patient experience.
- Provide timely coverage for registration needs and arrange relief during absences.
- Meet and exceed productivity standards.
- Manage call volume efficiently, meeting SLAs, using appropriate tools.
- Deliver exceptional customer service, actively listening and clarifying information.
- Answer authorization questions from physicians and patients.
- Maintain punctuality and schedule flexibility.
- Stay informed about infusion center services to provide excellent service.
- Document interactions thoroughly and update records accurately.
- Participate in training and development opportunities.
- Handle sensitive matters professionally, escalating when necessary.
- Attend department meetings and foster positive team dialogue.
Knowledge and Skills Required:
- Discretion handling confidential personnel and patient issues.
- Mature judgment in interactions with patients, physicians, and insurance reps.
- Ability to work independently without supervision.
- Strong listening and documentation skills.
- Proficiency in Word, Excel, Outlook, and OneNote.

Qualifications:
Preferred:
- Experience with insurance benefits and deciphering benefit information.
- Knowledge of electronic health records and medical terminology.
External Requirements:
- One year of customer service experience.
- High School Diploma or GED.
- Preferred: One year of patient access, healthcare, or call center experience; associate or bachelor’s degree in Business or related field.
