Schedule: Part Time

Shift: Sun: OFF, Mon-Thu 9a-4p, F OFF, Sat 9a-3p (Must be able to train onsite)

Principal Duties and Job Responsibilities:
  1. Collaborate with oncology physician offices, infusion centers, or directly with patients to schedule appointments, negotiating date and time, and avoiding resource conflicts.
  2. Work closely with the Infusion Center leader or charge nurse to maximize utilization of nursing time, productivity, and resources.
  3. Assess patient acuity based on diagnosis and visit reason; calculate treatment time accordingly.
  4. Ensure patients starting chemotherapy are scheduled for education prior to their first appointment.
  5. Schedule labs prior to treatment to prevent delays.
  6. Understand physician orders and schedule multiple recurring appointments within authorization and payer guidelines.
  7. Coordinate appointments with Radiation Oncology for patients receiving both chemotherapy and radiation.
  8. Verify faxed orders from physicians are complete and accurate; communicate missing information.
  9. Verify physician privileges for outpatient admissions.
  10. Verify patient identity to minimize medical record duplication.
  11. Send treatment requests via email for authorization processing.
  12. Input patient information into tracking documents for real-time updates.
  13. Access orders via EMR and Outlook.
  14. Schedule, reschedule, or cancel patients using the EMR Scheduling Book.
  15. Provide coverage at infusion centers as needed.
  16. Seek opportunities to improve processes.
  17. Maintain relationships with clinical partners to ensure smooth communication and enhance patient experience.
  18. Provide timely coverage for registration needs and arrange relief during absences.
  19. Meet and exceed productivity standards.
  20. Manage call volume efficiently, meeting SLAs, using appropriate tools.
  21. Deliver exceptional customer service, actively listening and clarifying information.
  22. Answer authorization questions from physicians and patients.
  23. Maintain punctuality and schedule flexibility.
  24. Stay informed about infusion center services to provide excellent service.
  25. Document interactions thoroughly and update records accurately.
  26. Participate in training and development opportunities.
  27. Handle sensitive matters professionally, escalating when necessary.
  28. Attend department meetings and foster positive team dialogue.
Knowledge and Skills Required:
  • Discretion handling confidential personnel and patient issues.
  • Mature judgment in interactions with patients, physicians, and insurance reps.
  • Ability to work independently without supervision.
  • Strong listening and documentation skills.
  • Proficiency in Word, Excel, Outlook, and OneNote.
  • Ability to operate office equipment.
  • Self-motivated with excellent customer service, patience, and professionalism.
  • Ability to build and maintain relationships.
  • First Contact Resolution skills for complaints and grievances.
  • Effective communication skills in English, verbally and non-verbally.
  • Strong problem-solving and organizational skills.
  • Adherence to CMS, EMTALA, HIPAA, and company policies.
Qualifications:

Preferred:

  • Experience with insurance benefits and deciphering benefit information.
  • Knowledge of electronic health records and medical terminology.

External Requirements:

  • One year of customer service experience.
  • High School Diploma or GED.
  • Preferred: One year of patient access, healthcare, or call center experience; associate or bachelor’s degree in Business or related field.
