Role Overview

The Field Project Manager is responsible for the overall management and success of all installation jobs, including engineering/engineering support, requisitioning parts, managing project lifecycles, planning job timelines, forecasting labor needs, verifying job accuracy, performing jobsite walkthroughs, and problem resolution. The Field Project Manager is responsible for ensuring safety, quality, cost containment, efficiency, and effectiveness of jobs from conception to completion.

Duties and Responsibilities
Scheduling and Installation Job Timelines
  • Identify appropriate project timelines for deliverables and completion dates by working with customers, Operations Coordinators, Sales Team, and District Manager.
  • Proactively schedule jobs to maximize the schedule, use time efficiently, and plan for foreseeable and unforeseen changes and emergencies.
  • Assist Sales Team in identifying appropriate time necessary to complete job.
  • Work with Operations Coordinators to schedule jobs.
  • Schedule final start-up and training with customers.
Installation Job Reporting and Documentation
  • Maintain thorough, detailed, and accurate notes and documentation in Sedona throughout the job lifecycle, and communicate the same with Project Coordinators.
  • Communicate project progress and changes directly with customers, Sales Team, and Project Management Team.
  • Conduct and/or participate in project meetings.
  • Coordinate, engineer, and communicate detailed descriptions of change orders.
  • Address adds, changes, and requests for information (RFI’s) with contractors and subcontractors as needed.
  • Ensure job errors are reported, the focus remains on the customers’ experiences, and that errors are communicated to all stakeholders in an educational way to promote prevention of the errors in the future.
Materials Management
  • Verify parts-and-systems compatibility.
  • Verify that correct parts are ordered and received.
  • Assist Sales Team in identifying correct part numbers for proposals and/or work orders, including providing part numbers and costs.
  • Coordinate shipping dates of all job-related materials, and expedite materials when necessary.
  • Ensure all parts selected, ordered, and received are correct based on the scope, proposal, walkthrough, and/or work order.
  • Perform parts reconciliation to ensure that all parts are acquired in time for installation schedule.
  • Stage job materials upon receipt.
  • Ensure materials are efficiently utilized to limit unnecessary returns and/or losses.
  • Ensure Technicians have all materials necessary to complete jobs.
  • Assist Technicians in identifying and securing proper truck stock.
  • Promote organization of Technicians’ truck stock.
  • Review tools on hand and ensure Technicians have all necessary tools to complete jobs.
Pre-Sales Support
  • Gain full understanding of job scope proposed by Sales Team and customers.
  • Assist in creating scope of work as needed.
  • Set expectations with Sales Team for chargeable project management time and installation labor needed to complete a job.
  • Perform site inspections and/or walkthroughs as assigned by Branch Manager.
  • Establish first and second customer communication and contact info.
  • Assist in pre-engineering tasks as assigned by Branch Manager.
Project Execution Support and Project Management
  • Communicate with all stakeholders throughout the project lifecycles to ensure thorough and quality completion of projects.
  • Ensure that the customer has been contacted once the job has either been processed or once a work order has been created.
  • Review project scope with the customer as needed to ensure the work order and parts requisition match the customer’s expectations.
  • Recommend additions or chargeable changes as needed while keeping the sales-customer relationship intact.
  • Gain and maintain the customer’s trust and become the customer’s primary point of contact throughout the entire installation.
  • Gather programming information prior to starting the job via phone conversation and or site visit (e.g. informational document and/or prints).
  • Perform job documentation as needed for Installation Technicians and/or for Sedona to ensure everything needed to service the account once the job is complete.
  • Keep Sales Team up to date by continuously communicating updates, progress, changes, and any job complications.
  • Push Technicians to finish jobs on time and within the project scope.
  • Ensure Technicians have all the parts and information required to execute a job at Job Kickoff.
  • Review all installation reports, and continuously work to improve the installation report process.
  • Perform site inspections upon job completion as needed.
  • Verify customer satisfaction.
Cost and Budgetary Responsibility
  • Ensure job focus is not just the execution of the job but also the profitability of the job.
  • Ensure projects come in under defined budget by regularly reviewing project expenses/costs and identifying variances proactively.
Technician Support and Supervision
  • Supervise Technicians and enforce safety regulations.
  • Direct and coordinate the activities of Technicians.
  • Interpret specifications, blueprints, job orders, and company policies and procedures for Technicians.
  • Plan and establish work schedules, assignments, and production sequences to meet project goals.
  • Confer with management and employee to resolve worker problems, complaints, and/or grievances.
  • Recommend and/or implement measures to motivate employee and improve project methods, performance, productivity, etc.
  • Provide guidance and direction to employee, including settling performance issues and monitoring performance.
  • Determine schedules, sequences, and assignments for work activities, based on work priority, quantity of equipment, and skill of employee.
  • Monitor employee’s work levels and review work performance.
  • Recommend personnel actions, such as hires, promotions, transfers, discharges, or disciplinary measures.
