Agency Relations Coordinator

Position Responsibilities
  • Act as the Program Services Representative: demonstrate a professional demeanor in interactions with all FSWVA staff, agencies, program representatives and government officials to provide support and ensure compliance.
    • Keep informed and consistently practice the policies and procedures of Feeding Southwest Virginia, FeedingAmerica national office regarding compliance.
    • Possess knowledge of Feeding Southwest Virginia and all programs.
  • The Agency Relations Coordinator reports directly to the Director of Agency Partnerships and supports the Program’s Department.
    • Obtain approval and adhere to a mutually agreeable work schedule.
    • Provides referrals to neighbors needing food assistance.
    • Seek, recruit, and develop new agency partners using food insecurity data to identify high‑need areas.
      • Provide information about Feeding SWVA and review eligibility of becoming an agency partner.
      • Refer potential partner to Children or Senior Feeding Programs if appropriate.
      • Conduct orientation, initial site monitoring, and necessary training to ensure the new agency partner understands their roles and responsibilities.
    • Strengthen relationships between Agency Partner and Feeding SWVA.
      • Communicate often to understand the agency's needs and challenges.
      • Assist during food‑distributions with agency approval.
      • Nominate the appropriate agencies for capacity‑building opportunities that become available.
      • Assist in planning and coordinating the annual agency conference.
    • Ensure agency compliance with Feeding SWVA.
      • Manage and monitor agencies in assigned service areas for performance and compliance.
      • Ensure required reports are timely, complete, and accurate.
      • Update and maintain partner forms, certifications, and training materials.
      • Ensure agency compliance with Feeding SWVA, VDACS, and USDA if distributing TEFAP commodities.
      • Monitor agency sites for compliance with TEFAP distribution to validate the quantity of product allotted.
      • Provide annual training on TEFAP regulations, policies, contractual requirements, and civil rights laws.
      • Maintain agency partner files to ensure compliance with Feeding America and government organizations.
      • Ensure all appropriate documents are organized in each agency file.
      • Conduct periodic internal reviews against files to ensure completeness and accuracy.
      • Compile and enter monthly report data.
      • Pull required files for review as needed by organizations performing audits.
    • Maintain and follow effective processes for office communications and administrative procedures.
    • Support Feeding SWVA special events, training, education, and capacity building activities as assigned.
  • Other functions.
    • Promote a cooperative spirit within the organization and among internal and external participants.
    • Perform other duties as assigned by the Director of Agency Partnerships, Chief Strategy Officer, and the President and CEO.
  • Interface: Responsible in maintaining positive relationships.
    • Partner Programs and agencies and other nonprofit organizations and their representatives.
    • General Public.
    • Other departments within Feeding Southwest Virginia.
    • Volunteers.
    • Community Service Workers.
Education
  • Associate degree or equivalent combination of education and/or two years’ experience in a related field required.

Licenses and Certificates
  • Valid Driver’s License and own transportation to work required. Maintain a safe driving record in driving company vehicles.

Physical Demands

The demands described here are representative of those that must be met by an employee to successfully perform the functions of this job. The position operates primarily in an office setting within the food bank and traveling to Agency Partners within the Feeding Southwest Virginia service area (26 counties and 9 cities). This position requires sitting at a desk and involves extensive computer work with frequent interruptions. Vision abilities required include close vision and the ability to adjust focus. Routine travel to meetings, functions, and special events is normal. Occasionally, employees may be required to respond to organizational needs outside of normal working hours. The employee may be required to push, pull, lift, and/or carry objects up to 30 pounds. With forklift traffic in the facility and product stacked and stored throughout, this position requires someone who is mobile and who can hear and watch for traffic and normal hazards of a warehouse environment. Conducts work in a fast paced and deadline-driven environment.

The hiring pay range listed for this position represents the Company’s good‑faith estimate of the compensation expected to be offered at the time of posting. Actual starting pay will be determined based on a variety of job‑related factors, including qualifications, credentials, education, relevant work experience, skills, and internal equity, consistent with applicable law.
