Job summary

Eckerd Connects is seeking an organized administrative professional to support program leadership, manage office workflows, and assist with payroll, billing, and reporting. The role requires a high school diploma, 2+ years of office experience, and the ability to handle sensitive information with accuracy.

This position supports the After Care Resource Navigator Program, ensuring timely data entry into EHR and related systems, coordinating staff activities, and maintaining smooth day-to-day

Qualifications

  • High school diploma or equivalent required.
  • All personnel providing Direct Care services to youth and families shall be at least twenty-one (21) years of age per DJJ guidelines.
  • 2+ years general office experience required. Thorough knowledge of modern office practices and procedures, and the use of office machines and equipment required. Requires excellent administrative and data entry skills.
  • Required to pass a drug screen in compliance with our Substance Abuse and Drug-Free Workplace policy.

Responsibilities

  • Relieve program/department leadership of administrative details; coordinate and maintain effective office procedures and workflow; communicate changes to staff.
  • Support to Director and Circuit Managers; provide feedback to program leadership and create systems to support daily operations.
  • Order office supplies; schedule maintenance; sort and distribute mail; maintain payroll time logs and timesheets; assist visitors; answer and route calls; manage staff calendar and appointments.
  • Maintain data in systems (EHR, FSFN, JJIS, RSMS, SVS) with accurate referrals, demographics, billing and attendance data.
  • Compile and verify data for reports; maintain records; process monthly billing for funders.
  • Conduct new hire orientation; prepare employment documents and benefits enrollment; handle personnel transactions and background screening.
  • Track and process invoices, petty cash and office supplies for the region.

Hourly Rate: $21.72

Duties & Responsibilities
  • Relieve program/department leadership of various administrative details; coordinate and maintain effective office procedures and efficient workflow; maintain familiarity with Eckerd Connects policies and quality standards, and of agency contract standards, coordinating and communicating changes to program/department staff
  • Act as support to Director and Circuit Managers; provide feedback to program leadership, as well as create systems to support the program daily operations and outcomes. Perform requested tasks assigned to program Managers in their absence, in support of staff.
  • Perform regular office support tasks that include, but are not limited to ordering office supplies; schedule maintenance/repair for office equipment; sorting and distributing incoming and outgoing mail; Preparing, maintaining, and distributing program payroll time logs and timesheets, coordinating any changes or corrections; assisting referring visitors to appropriate staff members as circumstances warrant; answering and routing program phone calls; and maintaining program business calendar, scheduling and coordinating appointments, homestay lists, client transport, and staff PTO.
  • Maintain program/department entry into data systems through accurate and timely input of referrals, client and/or staff demographics, billing, attendance, event, and testing data. Systems may include, but not limited to EHR, FSFN, JJIS, RSMS, and SVS systems
  • Locate and compile information and complete reports as required by contract and contracting agencies; compile, sort, and verify accuracy of data; keep records of work completed; maintain follow-up system on reports requiring action on periodic basis. Process monthly billing for submittal to funder.
  • Conduct new hire orientation, ensuring the new hire completes employment-related documents and benefits enrollment; also prepare or ensure preparation and submission of personnel transaction forms, evaluations, and similar documents, and obtain background screening information on new hires and candidate.
  • Track, maintain and process invoices, petty cash and any office supplies for the region.

About Our Program

The purpose of the After Care Resource Navigator Program is to increase positive outcomes for youth who are reentering the community from a residential commitment facility by identifying and establishing relationships with resources that address the service needs of youth and families, connecting youth served by the Program and their families with the appropriate resources to address their specific service needs. The Program provides transitional planning services to youth who are pending release from a Facility, including youth who will be supervised on Conditional Release (CR) or Post-Commitment Probation (PCP) upon their release, and Direct Discharge youth, who will be released with no supervision.
