Assistant Community Manager
The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. As the Assistant Community Manager, you will play a vital role in the delinquency and collection of rent to optimize the property's cash flow and financial position. You will manage all phases of operations, including personnel, leasing, maintenance, financial, administration, and risk management in the absence of the Community Manager. As an on‑site leader, you will supervise all aspects of the property and staff to ensure compliance with the company's policies and procedures, safety and fair housing guidelines, and liability concerns.
Responsibilities
As a leading affordable housing management company, we prefer the following experience in addition to the Essential Duties and Responsibilities outlined below for our affordable assets:
- Minimum of 1 year experience with affordable housing programs, including but not limited to LIHTC, HUD (Project Based Section 8, Section 236, PRAC, 811 PRA, USDA – Rural Development (515), HCD, HOME Funds and Bonds)
- Affordable Housing Accreditation (HCCP, HCP‑E, COS, BOS, TCS, CPO) or other applicable designations in affordable programs are preferred but not required.
Essential Duties & Responsibilities
Financial Management
- Responsible for posting all payments and income received from all applicants, current residents, and non‑current residents accurately, timely, and efficiently.
- Process and reconcile daily all account receivables.
- Monitor and follow up on bad debt to include preparation of late notices, resident and guarantor contact, and filing evictions.
- Help the property meet budgeted revenues, expenses, and Net Operating Income.
- Post all charges to resident and non‑current resident accounts, including bill back of utilities where applicable.
- Perform all end‑of‑the‑month closing procedures and reporting.
- Maintain accurate and organized records; audit resident files to ensure accuracy.
- Walk units and post all move‑out charges, statements, and security deposit refunds.
Personnel Management
- Regular/daily on‑site attendance is required.
- Use consistent techniques and company directives to screen, hire, train, coach, and develop on‑site staff.
- Ensure staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance of staff through support and effective leadership.
- Ensure staff compliance and consistency with Company policies and procedures.
- Manage leasing techniques to achieve closures, meet follow‑up procedures, and maintain accurate reporting systems.
- Implement marketing strategies and systems put in place by the annual marketing plan.
- Handle resident complaints, concerns, and requests to ensure resident satisfaction.
- Develop and implement resident retention programs such as resident functions, special promotions, and monthly newsletters.
- Effectively show, lease, and move in prospective residents.
Administrative Management
- Maintain excellent customer service and monitor service request turnaround and responsiveness of maintenance staff.
- Ensure property appearance and timely completion of repairs through regular inspections and tours.
- Assist with supervision of all business functions related to operations.
- Plan for and utilize property resources, equipment, and supplies economically, including obtaining bids/pricing from vendors, suppliers, and contractors.
Education/Experience
- High School Diploma or Equivalent; Bachelor’s degree preferred or two years experience in the housing industry; or one to two years related experience and/or training; or an equivalent combination of education and experience.
- Ability to understand and perform all on‑site software functions; basic computer skills required.
- Must have basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
- Regularly required to remain in a stationary position, often standing or sitting for prolonged periods; communicate with others; repeat motions involving wrists, hands, and fingers.
- Frequently required to move about to accomplish tasks or move from one worksite to another.
- Occasionally required to ascend/descend ladders, stairs, scaffolding, ramps, step stools, and the like; operate machinery or power tools; operate motor vehicles and/or golf carts; work in an overhead position; lift and move objects up to 25 lbs; work overtime, weekends, night hours (emergencies); work in small or confined spaces; traverse flat and non‑flat terrain; work in hot, cold, or wet conditions; be exposed to hazardous chemicals.
Salary Range: $20 per hour to $24 per hour
