Job summary

Physician Affiliate Group of New York (PAGNY) has an opportunity in Brooklyn for an Affiliate Operations Specialist (HR).

The role provides administrative, practice management, and HR support to PAGNY’s corporate office and staff across NYC hospitals and clinics. You will handle onboarding, HRIS updates, and credentialing while coordinating with recruiting and site leadership.

Qualifications

  • Bachelor's degree or equivalent in education and/or experience plus three years of healthcare HR experience.
  • Excellent interpersonal, organizational, and written/verbal communication skills.
  • Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
  • Ability to work independently and under pressure in a deadline-driven environment.

Responsibilities

  • Manage compliance with trainings, health assessments, and annual evaluations; keep records current.
  • Primary contact for credentialing and onboarding; manage progress of new providers.
  • Track new hires and ensure onboarding is thorough; update HRIS and files.
  • Maintain relationships with providers and staff; keep them informed and engaged.
  • Lead new hire orientation and assist with timesheets, benefits, CME, payroll calendars.
  • Manage HRIS transactions and coordinate with approvers for escalated issues.
  • Build relationships with site leadership and stakeholders; attend committee meetings when needed.
  • Handle routine labor relations and policy inquiries; refer complex matters to ER team.

  • PAGNY is a multispecialty medical practice group, staffs several municipal hospitals and clinics within New York City through an affiliation agreement with NYC Health + Hospitals.
  • PAGNY's Corporate staff provides administrative, practice management, and human resources services in support of its more than 4,000 clinical providers.

In compliance with federal, state, and local employment laws and regulations, the Affiliate Operations Specialist, under the direction of Human Resources (HR) and site leadership, is responsible for providing general support to the site PAGNY office and providers. The Affiliate Operations Specialist is also responsible for managing all employee concerns as the initial point of contact and is expected to serve as an outward-facing part of the HR Department. In collaboration with internal stakeholders, the Affiliate Operations Specialist’s responsibilities include onboarding of new hires through effective communication with recruiting specialists and hiring managers, logging and tracking of applicable human resources forms, and consistent updating of employee records in HRIS and other systems.

Opportunity Details
  • Manages compliance with mandatory and non-mandatory trainings, continuing education, annual health assessments, and work evaluations, assuring employee records are current and meet The Joint Commission on Accreditation of Healthcare Organizations (JCAHO) and New York Department of Health (NYDOH) standards.
  • Acting as the primary point of contact for all credentialing and onboarding, the Affiliate Operations Specialist will manage multiple new providers' progress throughout this process.
  • Tracks all new hires, ensuring onboarding is smooth and thoroughly reviewed, and that all post hire data and documents are in HRIS, employee files, credentialing, and onboarding trackers.
  • Maintains relationships with providers and staff by checking in periodically to keep them informed and engaged.
  • Leads and facilitates recurring new hire orientation and other activities and also provides hands on guidance for timesheet processing, benefits, continuing medical education (CME), and payroll and holiday calendars.
  • Manages all HRIS transactions in a timely fashion and makes change requests ensuring accuracy. Follows up with the appropriate personnel and communicates with corporate and NYC Health + Hospitals approvers for escalated issues.
  • Builds and maintains successful relationships with site leadership, Medical Staff Office (MSO), Occupational Health Services (OHS), NYC Health + Hospitals Human Resources Partners, Chiefs/Chairs, and other stakeholders. Attends site committee meetings, when necessary.
  • Handles routine labor relations and human resource inquiries related to policies, procedures, and bargaining agreements; refers complex matters to appropriate Labor and Employee Relations team member.
Qualifications
  • Bachelor's degree or equivalent in education and/or experience, plus three years of related experience in the healthcare setting. HR Certification preferred.
  • The ability to communicate and interact effectively with personnel at all levels of the organization is essential. Excellent interpersonal, organizational, and communication skills both oral and written.
  • Consistently displays the highest degree of integrity, professionalism, diplomacy, and discretion. Maintain the highest level of confidentiality.
  • Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
  • Requires demonstrated ability to work independently and efficiently, as well as ability to work well under pressure and prioritize in a deadline driven environment.
