Job summary

KSM CPA is seeking an Advisory Support Coordinator in Indianapolis to provide administrative, operational, and client service support within the Transaction Advisory Services practice. The role emphasizes proactive coordination, organization, and cross-team collaboration to ensure accurate records and smooth project execution.

The successful candidate will manage client data, scheduling, travel, onboarding, and documentation, while supporting quarterly reviews and internal training coordination.

Qualifications

  • 3+ years of administrative or operational experience in finance or professional services preferred.

  • Proficient in Microsoft Office Suite, especially Excel, Teams, and Outlook.

Responsibilities

  • Oversee new client entry and system management, including document and client database systems; create and manage client records, track job statuses, update systems regularly, and ensure timely cleanup and compliance
  • Manage shared inboxes to ensure seamless team-wide communication
  • Order and manage catering for meetings, lead event planning and execution for group events, organize internal networking meetings, and handle logistics for group meetings
  • Oversee meeting logistics, including agenda review, scheduling, room setup, food and drink arrangements, and technical support, and act as the primary event contact
  • Prepare and process client engagement letters, scope of work documents, and nondisclosure agreements ensuring accuracy and compliance
  • Oversee new hire onboarding processes, including task tracking, meeting scheduling, and supplemental materials are provided
  • Submit external CPE requests, obtain documentation for internal training, and liaise with KSM Learning for process updates
  • Travel Coordination: Arrange travel bookings, including flights, accommodations, and transportation
  • Prepare and submit department credit card expense reports
  • Complete unique tasks or special assignments as requested, demonstrating adaptability and problem-solving skills
  • Provide support with quarterly reviews, including preparation and organization of related documentation
  • Address team requests, work closely with advisory team members, and support various projects and initiatives

Position Summary

The Advisory Support Coordinator is an essential team member providing administrative, operational, and client service support within the Transaction Advisory Services practice.
