Job summary

DREAM seeks an Advancement Operations Coordinator to join our Advancement team in New York. Reporting to the Senior Director of Advancement Operations, this role provides administrative, operational, and project coordination support across the department.

Qualifications

  • Bachelor's degree required.
  • 1–3 years of experience in nonprofit development, fundraising, operations, project coordination, or administrative support.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Experience coordinating meetings, calendars, projects, or events in a fast-paced environment.
  • Ability to work collaboratively with colleagues across departments and with external stakeholders.
  • Strong problem-solving skills and a proactive, customer-service-oriented approach.
  • Proficiency with Microsoft Office and Google Workspace.
  • Experience with Salesforce or another CRM preferred.
  • Interest in building a career in nonprofit fundraising, advancement, or operations.
  • Belief in the DREAM mission and values; commitment to serving students and families.
  • Role is part of the Advancement Team, currently 3 days in-office and up to 2 days remote per week.
  • Some evening and/or weekend work may be required.

Responsibilities

  • Support routine Salesforce updates, donor activity tracking, and portfolio administration.
  • Coordinate logistics for portfolio review meetings, fundraising planning sessions, and other meetings.
  • Draft donor correspondence, stewardship communications, acknowledgments, and engagement materials.
  • Assist with donor meeting materials, prospect briefings, and stewardship resources.
  • Coordinate department meetings, planning sessions, retreats, and related activities.
  • Maintain calendars, resources, documentation, and administrative tools for the Advancement team.
  • Coordinate cross-functional workstreams, including purchasing, vendor coordination, and expense reconciliation.
  • Provide administrative support for departmental reporting and process improvements.
  • Support event planning for fundraising events and campaigns; handle registrations and logistics.

DREAM seeks an Advancement Operations Coordinator to join our Advancement team. Reporting to the Senior Director of Advancement Operations, this role provides administrative, operational, and project coordination support across the Advancement department. The Advancement Operations Coordinator serves as a key partner to Advancement leadership and works closely with the Director of Special Events, Advancement Operations Manager, Special Events Manager, Annual Fund Manager, Database Manager, and frontline fundraisers to support the day-to-day operations that enable fundraising success.

This is an exciting opportunity for a highly organized, detail-oriented professional who enjoys coordinating projects, managing multiple priorities, and building strong relationships across teams. The ideal candidate is proactive, collaborative, and eager to grow within nonprofit fundraising and Advancement Operations.

Fundraising Operations
  • Support routine Salesforce updates, donor activity tracking, and portfolio administration in partnership with the Database Manager and Advancement Operations Manager;
  • Coordinate logistics for portfolio review meetings, fundraising planning sessions, and other recurring Advancement meetings;
  • Draft routine donor correspondence, stewardship communications, acknowledgments, and other donor engagement materials, as assigned;
  • Support the preparation and distribution of donor meeting materials, prospect briefings, and stewardship resources.
Advancement Operations
  • Coordinate Advancement department meetings, planning sessions, retreats, and other departmental activities, including scheduling, agendas, meeting materials, note-taking, and follow-up;
  • Maintain departmental calendars, shared resources, operational documentation, and other administrative tools that support the efficient day-to-day functioning of the Advancement team;
  • Coordinate cross-functional operational workstreams and support departmental operations, including purchasing, vendor coordination, invoice processing, expense reconciliation, team recognition activities, and other administrative functions;
  • Partner with the Database Manager to support routine Salesforce updates, maintain accurate fundraising records, assist with donor lists and mail merges, and identify data inconsistencies for review;
  • Provide administrative support for departmental reporting, process improvements, and special projects that strengthen Advancement operations.
Events & Campaign Support
  • Support the planning and execution of fundraising events, donor stewardship activities, volunteer engagement initiatives, and Annual Fund campaigns in partnership with the Director of Special Events, Special Events Manager, and Annual Giving Manager;
  • Coordinate event registrations, guest communications, event materials, volunteer logistics, and other operational needs for Advancement events;
  • Assist with post-event follow-up, stewardship activities, and administrative support related to fundraising campaigns and donor engagement initiatives.

  • Bachelor's degree, required;
  • One to three years of experience in nonprofit development, fundraising, operations, project coordination, or administrative support; internships and relevant volunteer experience will be considered;

DREAM offers a competitive salary commensurate with relevant experience. The incoming annual salary range for this position is $66,500 to $75,000. New hires are typically brought into the organization at a salary closer to the start of the range depending on qualifications, internal equity, and the budgeted amount for the role. All regular employees receive annual compensation increases and have the opportunity to earn both performance- and tenure-based bonuses. Because we value tenure in each role, our salary ranges are not capped.
