Our vision is to become the most trusted financial partner on every main street in America. Through our one-stop approach, we make expert financial guidance accessible and affordable for all, because everyone deserves confidence in their financial future.
We believe that innovation and technology are force multipliers for that mission. By embracing artificial intelligence and modern tools, we continuously improve how we serve our members, streamline the experiences our teams deliver, and scale our impact without sacrificing the personal connection that sets us apart. Technology does not replace our human touch, it sharpens it.
At CSI Group, we live by our CAPTAG values: Caring, Accountability, Positive Attitude, Team Player, Adaptability, and Growth Mindset. These values are not just words, they shape how we work, how we serve, and how we grow together. A Growth Mindset and Adaptability mean we lean into change, including the opportunities that emerging technology creates for our members and our people.
The Opportunity
The Senior Advisor Administrator exists so our Senior Advisors can spend their time in front of members. You will support one/two Senior Advisors, and your work is what turns a full calendar into meetings that actually happen.
The core of this role is meetings. Every CSI360™ meeting, and every follow-up with a Financial Advisor or Attorney, gets scheduled, confirmed, prepared for, and recovered when it falls apart. At CSI Group, a meeting is not done when it lands on the calendar. It is done when the right people show up prepared.
If you are highly organized, persistent with follow-through, and energized by keeping a busy schedule running smoothly, this role puts you at the center of how we serve members.
What You Will Do
Own the calendar
- Manage and maintain the calendars of one/two Senior Advisors
- Coordinate scheduling with members, Lead Advisors, Growth and Development Advisors, Financial Advisors, Attorneys, and anyone else a meeting requires
- Protect time for CSI360™ meetings, the core measure of a Senior Advisor's work
- Help prioritize requests, commitments, and deadlines
- Place scheduling requests from the Growth and Development Advisor directly on the calendar, recognizing that during tax season a same-day handoff can be the most valuable meeting of the day
Own every meeting, start to finish
- Schedule meetings, or pick them up when a Senior Advisor could not book them in the room
- Confirm every meeting following the established confirmation cadence
- Make sure everyone attending is prepared, including what the member needs to bring
- Reschedule when a member cancels
- Follow up on no-shows and get the meeting back on the calendar
- Recover any CSI360™ meeting the Growth and Development Advisor identifies as scheduled but not held
- Ensure nothing on the calendar quietly disappears; every dropped follow-up is a qualified opportunity lost
Prepare for meetings
- Prepare meeting materials and gather the internal information the Senior Advisor needs
- Organize member history and CRM information ahead of each meeting
- Record notes, action items, and next steps when appropriate
- Help ensure requested documents and information are collected
Manage communication and access
- Serve as the primary point of contact for your Senior Advisors
- Screen, organize, and prioritize incoming calls, correspondence, and meeting requests, and decide when and how to bring them forward
- Escalate urgent and time-sensitive matters promptly
- Partner with Member Services to request member information and follow up on outstanding items for upcoming meetings
Provide administrative support
- Prepare reports, spreadsheets, presentations, and documents
- Maintain organized electronic and physical files
- Assist with expense reports, invoices, reimbursements, and administrative records
- Coordinate travel, reservations, and logistics as assigned
- Support special projects
- When specifically assigned, provide personal administrative support such as EZ Pass, CLEAR, credit card administration, travel accounts, and personal scheduling, with business responsibilities always taking priority
Scope of the Role
This role coordinates with many people across CSI Group, and that coordination never becomes authority over them. To keep responsibilities clear:
- The Senior Advisor runs meetings and records CSI360™ outcomes in the CRM; the Senior Advisor Administrator makes sure the meetings happen
- The Financial Advisor owns opportunities from stage 4 forward; this role does not work deals or progress opportunities in the CRM
- Member Service Representatives support the Lead Advisor, who owns the member relationship; this role requests information and follows up, but does not direct, assign work to, or monitor Member Services
- This role does not supervise, evaluate, or manage the performance of any employee, or set priorities for any other department
What You Bring
Required
- 2+ years of experience as an executive assistant, administrator, or scheduling coordinator supporting senior leaders or client-facing professionals
- Proven ability to manage multiple complex calendars with competing priorities
- Relentless follow-through: you confirm, chase, and recover meetings until they happen
- Strong written and verbal communication skills, with a professional and warm phone presence
- Sound judgment in screening requests and escalating what matters
- Discretion with confidential member and financial information
- Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
- High school diploma or equivalent
Preferred
- Associate's or bachelor's degree
- Experience in financial services, tax, insurance, legal, or another member- or client-service environment
- Experience working in a CRM
