Position SummaryThe Assistant Director supports the Executive Director in managing daily operations of the assisted living facility in accordance with Wisconsin DHS. This role ensures regulatory compliance, quality care, staff supervision, and resident satisfaction. The Assistant Director acts as the Administrator’s designee in their absence.Essential Duties & Responsibilities1. Regulatory ComplianceAssist in ensuring compliance with Wis. Admin. DHS and all applicable federal, state, and local regulations.Maintain accurate documentation, including resident service plans, risk agreements, assessments, and employee records.Participate in state surveys and audits; implement corrective action plans as required.2. Resident Care & ServicesSupport admission, retention, and discharge decisions in line with DHS 83 standards.Ensure individualized service plans are developed, implemented, and update to date.Monitor resident care to ensure safety, dignity, and respect.Handle resident/family concerns promptly and professionally.Participate in resident reviews3. Staff Management & TrainingAssist with hiring, onboarding, and supervising staff.Assist with scheduling as directedMaintain staffing patterns to meet DHS 83 requirements and resident needs.Ensure caregiver background checks and communicable disease screenings are completed before hire.Monitor employee training compliance, ensuring department-approved training is completed within required timeframes.Conduct staff performance evaluations and provide coaching as needed.Help to ensure employee files are compliant and that all staff have current CBRF trainings as needed.4. Medication & Health OversightEnsure safe medication administration practices and documentation in accordance with DHS 83.Support nursing staff with oversight of medication storage, administration, and audits.Participate in incident reviews and ensure corrective actions are documented and completed.5. Operations & AdministrationAssist with budgeting, payroll review, and expense monitoring.Support scheduling and ensure adequate coverage across all shifts.Maintain compliance calendars and conduct mock surveys to monitor readiness.Ensure facility policies, safety protocols, and emergency preparedness procedures are followed.Assist in an on-call rotationAssist in providing tours and information to potential residents as needed.6. Leadership & CommunicationServe as a role model of professionalism and compassion.Promote teamwork and a positive work environment.Act as liaison between staff, residents, families, and external providers.Represent the facility in community outreach and referral development as assigned.QualificationsHigh school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare, human services, or related field preferred.Minimum 2 years of supervisory or management experience in assisted living, healthcare, or long-term care.Working knowledge of Wisconsin regulations.Strong organizational, communication, and leadership skills.Ability to respond to emergencies and adapt to changing priorities.
