General Description Of Duties And Responsibilities

Under the direct supervision of the Site Team Leader, the Administrative Specialist provides clerical support to ensure that agency and program requirements are met. This position is the first point of contact for referrals and referral sources. This position maintains referral and enrollment data, meets duties related to data entry from referral to closure in the agency EHR, assists in maintaining records, and provides administrative support to the team. This position will receive and route ECI referrals, complete data entry, create requisitions, manage correspondence, assist with filing, create forms, prepare packets, schedule services, order supplies and materials, maintain inventory, manage the building and vehicles, and complete and submit agency monthly reports. This position will obtain verification of benefits and pre-authorization of services. May require travel to other sites and requires the use of personal vehicle if an agency vehicle is not available. Mileage will be reimbursed for agency business if personal vehicle is used.

Minimum Job Qualifications
  • Graduation from an accredited high school or equivalency (GED) with 2 years' experience with computers and routine office systems.
  • Must possess basic accounting and excellent customer service skills.
  • Must possess proficiency with computer and Microsoft Office programs.
  • Must be able to type 45 wpm.
  • Must have a valid Texas driver's license.
  • Possesses ability to effectively communicate with families, staff, and community.
Preferred Job Qualifications
  • Experience entering service and financial data into an Electronic Health Record system.
  • Experience taking referrals and providing follow-up.
  • Experience with medical records.
  • Prefer knowledge of the Medical billing process.
  • Ability to read, write and speak Spanish.

  • Ability to operate standard office equipment to include computers, printers, fax machines, scanners, copy machines, etc.

  • Knowledge of basic medical terminology.
  • Ability to communicate and maintain effective working relationships with other employees and the public.
  • Must be detailed oriented, reliable, and able to prioritize multiple projects.
  • Ability to work under conditions requiring physical stamina and ability to work in a stressful environment.
