Job summary

Oregon Department of Forestry (ODF) is seeking an Administrative Specialist 2 to provide administrative support for the Northeast Oregon (NEO) District. You will handle payroll, billing, and invoicing while coordinating with staff to meet divisional objectives and comply with laws and agency policies.

The role may involve serving as finance section chief for local fires, auditing costs, and ensuring accurate payments.

Qualifications

  • Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
  • An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
  • An equivalent combination of education and experience.

What we are looking for

ODF is looking for an Administrative Specialist 2 to provide administrative support for Northeast Oregon (NEO) District in department programs. These goals and associated duties include:

  • Requires the ability to closely coordinate with other staff to provide guidance and support needed to meet their responsibility to respective departmental objectives, agency missions, and legal mandates.
  • Must be able to implement Federal, State, Department, and District policies, laws and procedures by interpreting and applying the information to various, and at times complex daily working situations.

Minimum Qualifications

Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;

An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;

An equivalent combination of education and experience.

Driver’s License Check - This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout. If you have an Oregon driver’s license, a record checkwill be conducted on the top candidate to ensure a valid license and acceptable driving record.

  • Strong organizational skills are necessary to maintain accurate, accessible records, track deadlines, and preserve documentation needed for audits.
  • Adaptability and clear communication are key, as the work can be unpredictable and requires learning new systems quickly while communicating professionally with coworkers, leadership, incident personnel, and vendors.
Salary Determination

Per the Pay Equity Law passed in 2017, a pay equity analysis for starting salary will be conducted to determine what pay step the successful candidate will be offered.
