Responsibilities
- Under the guidance and direction of the Division Chief and Senior Business Manager, serve as the operational administrator for the Division of Pulmonary, Allergy and Critical Care.
- Plan, direct, and coordinate division operational functions, including budget and financial performance; facilities management; staff development, performance, and training; and operational performance of the clinical, research, and teaching missions of the Division.
- Coordinate the processing of financial and administrative duties across the department's clinical, research, and educational missions; exercise independent judgment in performing duties; coordinate delegated functions; and supervise assigned areas as appropriate.
- Assist with strategic development of business plans for expansion of clinical services, including SWOT analyses, financial models, and identification of opportunities for improved performance and process flow.
- Prepare and maintain accountability for the division's budget and utilization of resources; identify variances and implement measures to address them; regularly report the financial status of the division to the Division Senior Business Manager; manage operating budgets including the DHIP and SOM.
- Facilitate ongoing financial analysis and management of clinical and academic portfolios, including commitment packages, philanthropic sources, faculty discretionary funds, effort reporting, and sponsored research funding; oversee Financial Audit Manual (FAM) responsibilities within the Division.
- Provide financial oversight and management of the Rodent Inhalation Core Shared Resource, review monthly reports with Core directors, analyze revenue and expenses, advise on pricing, and ensure clean year-end closeout.
- Coordinate the recruitment process for the Division's Faculty and APPs, including onboarding and credentialing in clinical settings.
- Manage all aspects of the clinical and administrative support teams, including supervising and coordinating division personnel activities to meet objectives; ensure adherence to instructions and policies; recruit and train staff and implement corrective measures as needed.
- Monitor compliance of all billing and supporting documentation requirements, conduct audits as needed, and regularly report outcomes to the Senior Business Manager.
- Track performance metrics such as open encounters, charge capture, overdrafts, FAM, etc.; prepare reports and analyses, including financial reports with progress, trends, and recommendations.
- Serve as primary administrative point of contact with the Department of Medicine Research Administration Office, assisting with financial and administrative reporting, faculty effort management and certification, and budget projections for grant submissions.
- Maintain interface with departmental personnel to coordinate operational activities ensuring adequate personnel, space, and facilities; coordinate purchasing, maintenance, and renovation activities; manage property accountability.
- Assist in building aspects of the Department's clinical budget related to WRVUs and CFTEs for ongoing and new providers, working with Divisional and Departmental leadership.
- Develop Faculty and APP new hire requests by creating three-year profit and loss modeling; coordinate onboarding and credentialing processes related to required licensing.
Qualifications
- Minimum Requirements
- Education/Training: General business background, generally equivalent to a bachelor's degree in a business-related field.
- Experience: 4 years of related business or administrative experience to apply personnel practices, accounting and budgeting principles, and coordination of major administrative functions. A master's degree in a business-related field may be substituted for 2 years of experience. OR any other equivalent combination of relevant education and/or experience.
- Preferred Qualifications
- 1-2 years' experience in clinical operations.
Compensation and Benefits
Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $63,948.00 to USD $109,786.00. Duke University considers factors such as scope and responsibilities, candidate experience, education/training, and internal peer equity when extending an offer.
