Job summary

Corient is seeking an experienced Legal Administrative Assistant to support the General Counsel and the legal department. You will manage day-to-day priorities, communications, and documents in a fast-paced environment.

You will triage requests, coordinate signature workflows, assist with KYC/diligence, and maintain organized records while upholding strict confidentiality and compliance standards.

Qualifications

  • Bachelor’s degree or higher.
  • Proven success in a similar fast-paced legal environment.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Familiarity with document management systems and office software.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficient using legal research tools.
  • Strong interpersonal skills and team collaboration.
  • Notary Public (or ability to become one).

Responsibilities

  • Provide direct administrative support to the General Counsel and manage day-to-day priorities, communications, materials, and follow-up items.
  • Serve as a central administrative resource for the legal department supporting operations, processes, and coordination.
  • Triage the legal department inbox, identify priorities, route matters, and track follow-up for timely responses.
  • Coordinate signature processes, prepare packets, circulate documents, monitor completion, and maintain records.
  • Support KYC and diligence requests by gathering information and coordinating internal responses.
  • Maintain legal records, files, and systems with organized trackers and current information.
  • Assist with legal department tools and workflows, including matter and contract management, invoice processing, and reporting.
  • Coordinate internal and external communications as a helpful point of contact for routine inquiries.

Key Responsibilities
  • Provide direct administrative support to the General Counsel, helping manage day-to-day priorities, communications, materials, and follow-up items in a timely and organized manner.
  • Serve as a central administrative resource for the legal department, taking ownership of team-wide administrative needs that support department operations, processes, and coordination.
  • Triage the legal department inbox, reviewing incoming requests, identifying priorities, routing matters to the appropriate legal team member, and tracking follow-up to help ensure timely responses.
  • Coordinate signature processes, including preparing signature packets, circulating documents for execution, monitoring completion, and maintaining organized records of signed materials.
  • Support KYC and diligence requests by gathering information, coordinating internal responses, tracking open items, and helping ensure requests are completed accurately and efficiently.
  • Maintain legal records, files, and systems, including organizing documents, updating trackers, supporting recordkeeping processes, and helping ensure information is complete, current, and easy to locate.
  • Assist with legal department tools and workflows, including matter management, contract management, invoice processing, report generation, and other administrative processes that support the team’s efficiency.
  • Coordinate internal and external communications professionally and thoughtfully, serving as a helpful point of contact for routine legal department inquiries and follow-up.
  • Support special projects and ad hoc administrative needs that arise from time to time, bringing a proactive, solutions-oriented approach to helping the legal team operate smoothly.
Required Skills & Qualifications
  • Bachelor’s degree or higher.
  • Proven success in a similar fast-paced legal environment.
  • Strong work ethic with the ability to multitask and prioritize tasks effectively.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Familiarity with document management systems and office software.
  • Ability to handle sensitive and confidential information with the utmost discretion.
  • Proficient using legal research tools and software.
  • Strong interpersonal skills and ability to work collaboratively in a team.
  • Notary Public (or ability to become a notary).
Physical Requirements

This position requires the physical capabilities to work in an office environment, which may include prolonged periods of sitting at a desk and working on a computer. Corient seeks to make reasonable accommodations that enable individuals with disabilities to perform essential duties when possible. This position may require the ability to lift up to 15 pounds. This position is required to work onsite 4 days per week.

U.S. Eligibility Requirements
  • Must be 18 years of age or older.
  • Must have unrestricted work authorization to work in the United States.
