About the Lanai Cat Sanctuary

Lanai Cat Sanctuary is a 501(c)(3) nonprofit providing a humane solution for feral cats while protecting native bird populations. Located on the island of Lāna‘i, Hawai‘i, the Sanctuary cares for more than 700 cats in a four-acre enclosed environment and welcomes thousands of visitors each year.

Role

The Administrative & Development Coordinator assists in strengthening internal systems that support fundraising, reporting, and daily operations. This role is ideal for someone who has demonstrated the ability to work independently, has strong follow-through and proactive communication, and whose strengths include organizing complex information, building efficient systems, and helping projects move forward in a collaborative, mission-driven environment.

Successful candidates take ownership of their work, keep projects and reporting organized, and look for ways to improve processes that help the organization operate more effectively.

Occasional travel to the island of Lāna‘i may be requested.

Key Responsibilities
  • Support fundraising operations by tracking initiatives, maintaining donor records, and assisting with grant documentation and donor communications.
  • Prepare and maintain reports and dashboards across multiple revenue and visitor platforms, ensuring data accuracy and consistency.
  • Build and manage Excel-based tracking tools and support data organization used for internal reporting and decision-making.
  • Coordinate administrative workflows including meeting scheduling, shared inbox management, travel logistics, and vendor coordination.
  • Support cross-team projects and help maintain organized communication and documentation across departments.
Qualifications

We are seeking a motivated and dependable professional who consistently works to meet operational demands in a timely and reliable manner with great attention to detail. The candidate should possess the following skills:

  • 3–5 years of experience in administrative, operational, reporting, or project coordination roles
  • Strong proficiency in Microsoft Office, including advanced Microsoft Excel skills (pivot tables, lookup functions, and multi-sheet reporting tools)
  • Experience working with databases or CRM systems preferred
  • Experience supporting operational processes and preparing routine reports
  • Strong organizational skills and deadline oriented
  • Demonstrated ability to work independently in a remote environment
  • Professional, reliable, and collaborative work style, flexible and collaborative team player
  • Respect for and commitment to the humane treatment of animals
  • A high school diploma or equivalent is required.
