Provides direct administrative and team-based program support for a broad range of needs and projects in a fast-paced environment.
The hiring salary for this position is $45,510 - $47,819 annually; full salary range for this position is $45,510 - $78,354 annually.
Responsibilities
- Provides administrative support to the staff of assigned department in order to meet department goals and objectives;
- Provides excellent customer service delivery to include handling customer needs by phone, email, and in person;
- Interprets, explains and enforces department policies regarding registrations, reservations, waitlists, cancellations and refunds;
- Prioritizes, responds, and follows up on customer and staff inquiries
- Maintains accurate and timely communication relative to programming and facility needs and addresses customer concerns and finds resolutions to satisfy needs
- Prepares daily, weekly, and monthly financial and participant use reports;
- Maintains detailed cash handling records and follows all cash handling department policies and procedures
- Performs data entry into software for facility and contract rentals
- Provides clerical and project support for the department
- Receives deliveries and mail; ensures packages and mail are forward to correct parties
- Provides operational support during various annual events held on evenings and weekends;
- Performs other duties as assigned.
Qualifications
- Ability to gain thorough knowledge of St. Mary's County Government policies and procedures;
- Ability to act as a representative of St. Mary's County Government to the public;
- Expert knowledge of department practices and procedures and of the practices, procedures, and concepts of the assigned programs;Knowledge of relevant Federal, State, and Local regulations relative to the operations of specific projects and programs;Ability to effectively communicate with others;Ability to develop, implement, prioritize, and coordinate program-related activities;Ability to use available resources to research information;Ability to prepare and maintain accurate records;Ability to operate relevant computer systems, including hardware and software (CivicPlus, Microsoft Office, etc.).
Education and Experience
- Associate’s degree;
- Two or more years of related experience wit customer service, registration software management systems such as RecTrac, CivicPlus or similar software for program registration and facility management;
- Or equivalent combination of education and/or experience which has provided the knowledge, skills and abilities required may be considered.
Physical and Environmental Conditions
Work requires light physical effort in the handling of light materials or boxes and tools or equipment in non-strenuous work positions up to 30 pounds and/or continual standing or walking of 60%/ + of the time. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meetings and training rooms (e.g., use of safe work place practices with office equipment, and/or avoidance of trips and falls.
